Job Description

The successful candidate will be responsible for providing administrative support to senior executives, coordinating events, managing calendars, and maintaining accurate records. You will also play a key role in ensuring the smooth operation of our office, including ordering supplies, coordinating travel arrangements, and performing other tasks as required.

Responsibilities
  1. Provide high-level administrative support to senior executives, including preparing presentations, reports, and correspondence.
  2. Coordinate events, meetings, and conferences, including arranging logistics, catering, and accommodations.
  3. Manage complex calendars, scheduling appointments, and making travel arrangements.
  4. Maintain accurate and up-to-date records, including financial statements, personnel files, and other important documents.
  5. Order supplies, equipment, and services as needed to ensure the efficient operation of our office.
  6. Perform other tasks as required, including data entry, filing, and mail distribution.
Requirements
  • 5-10+ years of professional experience working in a similar role as Executive Assistant, Office Manager or Office Administrator.
  • Prior experience within an architecture, engineering, construction or design firm would be considered a significant asset.
  • Must be able to exercise discretion when working with materials of a sensitive or confidential nature.
  • Proficiency with MS Office Suite (Word, Excel, Teams) is required.
  • Strong organizational and time management skills.
  • Demonstrated ability to learn new systems and processes.
  • Client focused, always striving to give clients the best solutions.

The estimated annual salary for this position is $75,000-$95,000 based on industry standards in Washington, DC.
