As a vital member of the Project Management Office (PMO) Contracts Team at PM2CM, your responsibilities will encompass a range of essential tasks, including:
- Collaboration: Engage with project management personnel to create and assemble procurement packages aimed at selecting general contractors and professional service providers. This may involve related change management activities.
- Competitive Bidding Management: Oversee various competitive bidding and selection processes for construction and professional services, managing everything from planning to award. This includes all administrative functions such as preparing procurement documents, addenda, evaluation materials, and contract documentation.
- Pre-Qualification Management: Handle the pre-qualification processes for professional and construction service firms. This involves preparing Request for Qualifications (RFQ) packages in collaboration with Subject Matter Experts (SME), leading pre-submittal instruction meetings, and coordinating the evaluation process.
- Task Flexibility: Depending on workload and departmental resources, you may be assigned a variety of tasks and responsibilities to best meet the needs of the organization.
- Policy Adherence: Ensure strict compliance with policies, procedures, templates, and applicable laws as a daily part of your role.
- Reporting and Quality Control: Responsible for reporting, tracking, and maintaining quality control for assigned procurement processes.
- Multi-Project Management: Manage multiple concurrent procurement processes while collaborating with various stakeholders.
- Administrative Focus: This role is heavily administrative, and applicants should understand that it does not involve supervising others.
- Attention to Detail: A high level of attention to detail and compliance is essential, given the scrutiny of consistent internal and external audits.
- Work Environment: This position is based entirely in the PMO Office, with no hybrid or remote opportunities available.
Minimum Qualifications:
- Associate's degree in a relevant field.
- 3-6 years of experience pertinent to the position.
- Familiarity with standard contract terms and conditions.
- Proficiency in Microsoft Excel, Word, and Adobe Acrobat.
- Demonstrated reliability, responsiveness, and a positive work ethic with the utmost integrity.
- Detail-oriented and organized.
- Quick learner and logical thinker.
- Focus on quality and accuracy.
- Excellent written and verbal communication skills.
- Ability to accurately track and report status while managing multiple projects.
Preferred Qualifications:
- Bachelor's degree in a relevant field.
- Experience in program or project management.
- Knowledge of California Higher Education and Public Contract Code requirements.
- Experience with electronic bidding software.
- Familiarity with project management software.
