Job Summary

The Accounting Manager is responsible for overseeing the accounts receivable and collection function to maintain a high-quality receivables portfolio, optimize cash flows, minimize bad debts and client concession write-offs, and support the business goals of the company. This role serves as the liaison with other departments and management on questions related to clients' billing as it relates to past due receivables.

Key Responsibilities
  • Management
    • Maintain a department organizational structure sufficient to meet all goals and objectives
    • Properly motivate the accounts receivable staff and provide for ongoing training and development
    • Measure department performance with appropriate metrics
    • Manage relations with collection agencies
    • Manage relations with credit reporting agencies
    • Manage relations with the sales department
    • Maintain banking relationships
  • Accounts Receivable
    • Ensure that accounts receivable are collected promptly
    • Process and apply customer payments and credit memos
    • Enter invoices into customer invoicing websites
    • Contact customers regarding overdue accounts and determine reasons for non-payment; issue credit hold notifications when necessary
    • Record cash receipts and make bank deposits
    • Maintain the corporate credit policy; monitor the credit granting and updating process
    • Manage customer credit files; update the customer master file with accurate and up-to-date information, including sales tax exemption certificates where applicable
    • Submit uncollectible accounts to collections agencies
    • Recommend bad debts write-offs
    • Personally investigate the largest customer credit applications
    • Maintain accurate records about the customer payment status
    • Personally visit the largest customers to establish relations
    • Monitor periodic credit reviews
    • Monitor deductions being taken by customers
    • Manage the application of late fees on customer accounts, when applicable
    • Perform monthly reconciliation of accounts receivable sub-ledger to general ledger
  • Cash
    • Monitor and track daily cash activity
    • Track and account for all non-customer cash receipts
    • Conduct monthly reconciliation of checking and savings accounts
    • Maintain petty cash funds
  • Fixed Assets
    • Create and monitor a system of controls, procedures, and forms for the recordation of fixed assets
    • Assign tag numbers to fixed assets
    • Record fixed asset acquisitions and dispositions in the accounting system
    • Reconcile the balance in the fixed asset subsidiary ledger to the summary-level account in the general ledger
    • Calculate depreciation for all fixed assets
    • Review and update the detailed schedule of fixed assets and accumulated depreciation
    • Investigate the potential obsolescence of fixed assets
    • Conduct periodic physical inventory counts of fixed assets
    • Conduct analyses related to fixed assets as requested by management
    • Prepare property tax returns
    • Represent the company during any audits by a government entity that involve fixed assets
  • Sales & Use Tax
    • Collect sales tax from customers; prepare and file monthly sales and use tax returns to appropriate government entities
    • Ensure sales tax exemption certificates are on file for any customers not being charged sales tax
    • Ensure compliance with sales and use tax laws for each jurisdiction
    • Represent the company during any audits by a government entity that involve sales/use tax
  • Other
    • Oversee the month-end closing process as it relates to accounts receivable, fixed assets, and sales tax, including approval of related journal entries and account reconciliations
    • Prepare audit schedules relating to accounts receivable, cash, fixed assets, and sales tax; assist the auditors with their inquiries
    • Gather and report on department's processing metrics and relevant KPIs
    • Effectively communicate with internal and external customers
    • Identify opportunities for process improvements including internal controls, forms, procedures, policies, and systems
    • Participate in ad-hoc reporting for special projects
    • Ensure compliance with company policies and procedures, generally accepted accounting principles, and regulatory requirements
