Job SummaryWe are seeking a highly motivated and organized HVAC Operations Coordinator to join our team. The successful candidate will be responsible for managing the day-to-day scheduling operations, ensuring that jobs are ready for scheduling, and providing exceptional customer service.
Key Responsibilities- Manage Incoming Calls: Respond to customer inquiries and provide timely and accurate information regarding their service requests.
- Generate/Input Calls: Efficiently schedule work orders and ensure that technicians have the necessary information to complete their tasks.
- Identify and Assess Customer Needs: Use effective listening and verbal communication skills to understand customer requirements and provide solutions that meet their needs.
- Schedule Technicians: Coordinate with the Service and Operations Manager to ensure that technicians are assigned to the correct jobs and that they have the necessary resources to complete their tasks.
- Build Sustainable Relationships: Develop and maintain strong relationships with customers through open and interactive communication, ensuring that their needs are met and that they are satisfied with the service provided.
- Meet Sales Targets and Call Handling Quotas: Meet or exceed personal and team sales targets and call handling quotas, ensuring that customer service standards are met.
- Handle Customer Complaints: Respond to customer complaints in a professional and timely manner, escalating issues to the appropriate manager as needed.
- Keep Records: Maintain accurate and up-to-date records of customer interactions, including service requests, scheduling, and customer feedback.
- Follow Communication Procedures: Adhere to company communication procedures, guidelines, and policies to ensure that customer service standards are met.
