Position Overview:

Are you experienced in orchestrating impactful events that leave a lasting impression? Our organization is in search of a dedicated Donor Experience Specialist who excels in meticulous planning and execution of high-profile gatherings. This role is pivotal in crafting exceptional experiences for our valued donors, ensuring that every detail is attended to with care and precision.

Key Responsibilities:

  1. Lead the planning and execution of 5-7 regional events annually, along with a significant national event, ensuring a seamless experience for all attendees.
  2. Oversee all logistical aspects of events, including vendor management for venues, audiovisual needs, catering, and support personnel.
  3. Manage the financial aspects of events, including budget oversight, expense tracking, and financial reporting.
  4. Negotiate contracts with external vendors and service providers to ensure optimal service delivery.
  5. Collaborate with team members to create promotional materials, donor communications, and event collateral.
  6. Facilitate event planning meetings and maintain communication with key internal stakeholders throughout the planning process.
  7. Conduct post-event evaluations to gather insights and improve future events.
  8. Act as the primary on-site manager during events, ensuring everything runs smoothly.
  9. Research and evaluate potential event locations, providing recommendations to management.
  10. Assist in coordinating travel and logistics for donors visiting from abroad.
  11. Support the creation of bi-annual impact reports and maintain organized content folders.
  12. Work closely with the Marketing and Communications department to develop necessary campaign materials for donor presentations.
  13. Provide presentation support and reporting for team meetings and strategic summits.
  14. Maintain event registration processes and ensure donor records are accurately updated in the database.

Qualifications:
  1. Associate's degree required; Bachelor's degree preferred.
  2. A minimum of 3 years of experience in coordinating in-person events.
  3. At least one year of experience in a non-profit or fundraising environment is preferred.
  4. Familiarity with CRM systems and online event management platforms.
  5. Experience in the non-profit sector is preferred.

  2. Exceptional written and verbal communication skills.
  3. Highly organized, detail-oriented, and capable of managing multiple projects and deadlines simultaneously.
