Position Overview:
As a vital member of the Scheduling Office, the Surgery Scheduler plays a crucial role in managing the daily operating room schedule and associated documentation efficiently and accurately.

Key Responsibilities:
1. Procedure Scheduling:
- Identify and confirm orders in the system, ensuring procedures are scheduled accurately in Epic systems such as OpTime, Cupid, or Radiant.
- Review case orders for completeness and accuracy, addressing any discrepancies with the ordering provider.
- Coordinate with vendors and clinical teams to arrange special grafts and tissues as required.
- Adjust the scheduling grid to align with time and room requirements, providing estimates for case durations based on historical data.
- Manage rescheduling of surgical cases and communicate changes to relevant parties.

2. Appointment Coordination:
- Schedule patient appointments with the appropriate providers, ensuring all necessary information is included.
- Utilize advanced scheduling tools to facilitate efficient appointment coordination, including Pre-Op and Post-Op visits.
- Maintain up-to-date knowledge of scheduling applications and processes to ensure accuracy in appointments.

3. Effective Communication:
- Educate patients on pre-surgery requirements and expectations to alleviate anxiety.
- Communicate vital updates regarding the surgical schedule to all affected parties.
- Manage provider calendars and ensure efficient use of operating room time.

4. Patient Advocacy:
- Assist patients in navigating the healthcare system, ensuring they have access to necessary resources.
- Address patient concerns and inquiries regarding scheduling and procedures.

5. Collaboration and Teamwork:
- Work collaboratively with healthcare teams to ensure smooth operational flow.
- Provide cross-coverage for registration and scheduling as needed.

Qualifications:
- High School Diploma or equivalent required; Associate's Degree in a related field preferred.
- Minimum of 3 years' experience in a clinical setting in an administrative role is required.
- Proficient in communication, problem-solving, and computer applications, including MS Office and Epic.

Work Environment:
- This position requires prolonged periods of sitting and frequent use of computer systems. Attention to detail and effective communication skills are essential for success in this role.
