Accounts Payable Clerk Job Description

LHH Recruitment Solutions is seeking a skilled Accounts Payable Clerk to join our team in Seattle, WA. This 6-month contract position will be fully onsite at the client location.

Key Responsibilities:
  • Invoice Processing:
    • Receive, review, and verify invoices for accuracy and completeness.
    • Code and enter invoices into the accounting system for approval and payment processing.
    • Match invoices to purchase orders and receipts to ensure the accuracy of billed items.
  • Payment Preparation:
    • Assist in the preparation of payment batches, including checks, ACH transfers, and wire payments.
    • Ensure invoices are paid within the terms agreed upon with vendors, avoiding late fees and maintaining good vendor relations.
  • Vendor Relations:
    • Communicate with vendors to resolve discrepancies, payment issues, or missing documentation.
    • Respond to vendor inquiries regarding invoice status and payment information.
    • Maintain updated vendor records, including contact information and payment details.
  • Expense Management:
    • Assist with the reconciliation of employee expense reports, ensuring compliance with company policies.
    • Verify and process reimbursements for employee expenses.
  • Account Reconciliation:
    • Reconcile accounts payable transactions and maintain accurate records of all invoices and payments.
    • Monitor accounts to ensure timely payments and address overdue accounts as necessary.
  • Reporting and Filing:
    • Assist with the preparation of accounts payable reports, such as aging reports and open invoice listings.
    • File and maintain records of all accounts payable transactions for audit and compliance purposes.
  • Assist with Month-End Close:
    • Assist in the month-end closing process by ensuring all invoices are accounted for and reconciled.
    • Support in preparing accruals for unpaid invoices.

Qualifications:

  • Education:
    • High school diploma or equivalent required; associate's degree in accounting, finance, or related field preferred.
  • Experience:
    • 1-2 years of experience in accounts payable or a similar clerical role in an accounting department is preferred.
    • Basic knowledge of accounting principles and procedures.
  • Skills:
    • Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle, or similar).
    • Strong attention to detail and accuracy in data entry and invoice processing.
    • Good organizational skills and ability to meet deadlines.
    • Strong verbal and written communication skills for vendor and internal interactions.
    • Proficient in Microsoft Office, particularly Excel.

Compensation: $30-$33/hour DOE
