Job Description

HOK is seeking an experienced Architectural Project Administrator to join our team in the Kansas City office. As a Project Administrator, you will provide administrative support to the Design Principal, Project Manager, and Project Team on a large Sports project.

Key Responsibilities:
  • Assist with tracking project progress, project documentation, and other administrative tasks.
  • Act as a project liaison to external consultants and clients when project team members are unavailable or out of office.
  • Support the Construction Administration team in managing the project construction filing system.
  • Serve as a contact for transfer of files, documents, drawings with external consultants and clients; manage distribution of these to the team.
  • Schedule, plan, and coordinate project meetings as directed, including attending meetings to record attendance and prepare minutes for distribution.
  • Send completed responses or revised drawings to contractor and/or client.
  • Assist team with project tasks in various phases, including Design/Document Phase, CA Phase, and Project Closeout.
  • Draft letters, prepare documents, and proofread client, vendor, or consultant documents.
  • Oversee and coordinate client, vendor, or consultant marketing or event opportunities.
  • Act as a resource for the onboarding of new team members to the project team.
  • Take personal responsibility for fostering a green workplace through sustainable work practices.
Requirements:
  • Proficiency in MS Office, including Word, Excel, and Outlook.
  • Proficiency in Trimble Connect and Smartsheet preferred.
  • Detail-oriented and able to handle confidential information at the highest level.
  • Knowledge of construction administration process and CSI divisions preferred.
  • Excellent communication skills, including verbal and written and interpersonal skills.
  • Ability to work in a team environment.
  • Ability to effectively meet deadlines.
Education and Experience:
  • Bachelor's degree in business, construction administration, or related field or equivalent preferred.
  • Five years administrative or related experience preferred.
Other:
  • Some travel may be required.
  • Some overtime may be required.
