About the Role

We are seeking a highly organized and detail-oriented Sales and Event Coordinator to join our team at The Westgate Hotel. As a Sales and Event Coordinator, you will play a critical role in supporting our Sales and Catering team in planning and executing events, as well as assisting with daily administrative duties.

Key Responsibilities
  • Work closely with the Catering Manager and Convention Services Manager to plan and execute events, including site visits, proposals, contracts, and event preparation.
  • Assist with daily administrative duties, such as managing group information, client communication, and sales procedures.
  • Create, edit, and prepare proposals and contracts for prospective businesses.
  • Develop and maintain relationships with clients and internal stakeholders to ensure seamless event execution.
  • Coordinate and communicate essential information for each event to respective departments.
  • Input meeting space requirements, sleeping room rates, and room blocks in our database system.
  • Review and confirm contracts to ensure accuracy and completeness.
  • Distribute catering and group sales information to other departments as necessary.
  • Provide phone coverage for sales and catering office while qualifying leads and distributing them to the appropriate Manager.
  • Maintain weekly/monthly sales reports.
  • Ensure professional and positive communication with both guests and fellow employees.
Requirements
  • Minimum 1 year of experience in a hotel sales and catering department or previous administrative experience.
  • Strong communication and computer skills with proficiency in Microsoft Office.
  • Outstanding organizational, interpersonal, administrative skills, and time management skills.
  • Knowledge of Opera PMS and working knowledge of Opera Sales & Catering and DelphiFDC preferred.
