Overview:
BRPH is seeking a Construction Project Coordinator to join our team. The Construction Services (CS) Project Coordinator plays a vital role in supporting the Project Management team by executing essential administrative functions related to project management.

These functions encompass, but are not limited to, establishing budgets, coding costs, tracking expenses, and managing monthly billings, including those for subcontractors and suppliers.

The CS Project Coordinator is also tasked with general administrative responsibilities, which include assisting in the transmission of documents to and from clients, subcontractors, and suppliers, managing document controls, and undertaking additional tasks as assigned by the Project Manager.

This position reports directly to the Project Manager and will act as the client liaison in the absence of the Project Manager.

Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assists the Project Team with precise financial management for assigned projects, which includes:

Creating and transferring Project Contracts and Budgets from proposals to the CS financial system's cost structure.

Accurately monitoring costs incurred (labor and expenses) in line with the CS financial management cost code structure.


Carefully tracking subcontractor invoices through the necessary approval processes and in accordance with the CS Financial Management cost code structure.

Collaborates closely with the Accounting Team for financial reviews and accurate cost tracking.

Coordinates with Accounting to facilitate project cost transfers when required.

Effectively manages Project Financials using Procore and Vantagepoint.

Prepares and maintains monthly financial status reports and budgets.

Supports project quality management by accurately tracking:

Submittals and the submittal process.

Requests for Information (RFIs) and the RFI process.

Utilizes Procore consistently for submittal and RFI document controls and transmissions.

Employs Newforma for documents categorized as ITAR, CUI, or other controlled classifications.

Ensures formal document storage is conducted in accordance with company policy.

Coordinates with Subcontract Administrators (SCA) to ensure accuracy in:

Subcontractor commitments.

Subcontractor work-in-process and accruals.

Subcontractor invoicing, approvals, and payments.

Supports the Project Team with logistics such as:
Project documentation, including meeting minutes, AIA contracts, and responses to review comments.

Travel coordination.

Badging and safety administration-related activities.

General and formal correspondence.

Expense reports.

Scheduling and coordinating meetings and site visits.

Ordering and receiving supplies.

Ensuring accuracy, formatting, and proper grammar.

Transmittals and document controls.

Assisting in job-site employee onboarding and offboarding.

Qualifications:

EDUCATION and/or EXPERIENCE:
Must possess experience with or the ability to quickly learn Procore.

A minimum of an associate degree or equivalent from a two-year college or technical school; or four or more years of related experience and/or training; or an equivalent combination of education and experience is required.


Must have at least four years of experience in the role of Project Coordinator or a similar position within a construction environment.

Must have a minimum of two years of experience in accounting.

Must have experience drafting meeting minutes from notes and synthesizing others' notes into a cohesive document.

Must have experience in preparing formal meeting minutes.

Must be authorized to work in the US without sponsorship.
