Job Summary

We are seeking a detail-oriented and motivated AP/AR Specialist to join our finance team. This is an excellent opportunity for recent graduates or individuals with minimal experience who are eager to grow and develop their skills in accounting.

Key Responsibilities
  • Ensure all required documents are received prior to vendor setup.
  • Verify all invoices received from vendors are approved prior to entering them into the accounts payable system.
  • Coding vendor invoices accurately within the general ledger.
  • Generate accounts payable aging reports with recommendations for vendor payments.
  • Respond to vendor invoice inquiries.
  • Post credit card activity within the general ledger and obtain supporting documentation.
  • Process daily customer payments by recording checks, ACHs, and credit card transactions.
  • Ensure daily cash activity within the general ledger agrees with bank postings.
  • Organize and maintain customer remittance and deposit information.
  • Prepare reports on delinquent customer accounts and customer payment profiles.
  • Communicate with customers regarding payment status via phone and email.
  • Maintain records by scanning invoices, debits, and credits.
  • Develop and maintain standard operating procedures for accounts payable and accounts receivable.
Requirements
  • An associate's degree in accounting or a related field is preferred.
  • At least one year of AR/AP experience is required.
  • Experience with QuickBooks Online is preferred, or other accounting software is required.
  • Proficient Microsoft Excel skills to analyze large data sets are required.
  • Excellent organizational skills and attention to detail are essential.
  • Knowledge of general financial accounting principles is necessary.
  • Understanding of and adherence to generally accepted accounting principles is required.
  • Working knowledge of Microsoft Office Suite is necessary.
  • Excellent verbal and written communication skills are required.

Work Environment
  • This job routinely uses standard office equipment such as computers, keyboard, phones, etc.
  • This position is a hybrid position, reporting into our home office in Malvern, Pa. 2 days a week and working from a home office 3 days a week.
  • Computer and VPN access are provided. Employee must provide their own internet access when working remotely.
  • This position's hours will be Monday through Friday 9 am to 5 pm ET, or 8 am to 4 pm ET.
