Job Overview: The Administrative Support I role is designed for individuals who are eager to provide essential clerical assistance within a dynamic environment. Under the guidance of supervisory staff, this position involves utilizing foundational skills acquired through prior experience and training to support various administrative functions.

Key Responsibilities:

  • Manage incoming calls, providing information and directing inquiries to the appropriate personnel.
  • Facilitate appointment scheduling and client admissions, ensuring timely reminders are communicated.
  • Address client questions and concerns, collecting necessary documentation and providing program information.
  • Ensure the distribution of important documents to designated areas.
  • Maintain a welcoming atmosphere at the reception area, assisting visitors as needed.
  • Safeguard the premises by being aware of surroundings and reporting any suspicious activities.
  • Perform clerical tasks such as typing, filing, and faxing documents.
  • Organize and prepare mail for distribution.
  • Order and manage office supplies efficiently.
  • Uphold confidentiality regarding agency and client information.
  • Assist in maintaining appointment calendars for various sessions and individuals.
  • Input routine data into relevant database systems.
  • Prepare and manage client forms and files, both in hardcopy and electronic formats.
  • Contribute to data collection for reporting purposes based on assigned areas.
  • Utilize standard office equipment and software applications effectively.
  • Perform additional duties as assigned by supervisory staff.

Required Knowledge, Skills, and Abilities:

  • Understanding of basic office administration principles and practices.
  • Familiarity with billing systems, insurance verifications, and medical terminology.
  • Proficiency in operating standard office equipment and software, including Microsoft Office.
  • Ability to communicate effectively in both written and verbal forms.
  • Strong organizational skills to manage multiple tasks and meet deadlines.
  • Commitment to providing exceptional customer service.
  • Ability to work independently and collaboratively within a team.
  • Maintaining confidentiality of sensitive information.

Educational Requirements:

  • High school diploma or GED equivalent.
  • At least 6 months of previous administrative or clerical experience, or 1 year preferred, or an equivalent combination of experience and education.

Working Conditions:

  • Normal business hours with potential for additional hours as needed.
  • Climate-controlled office environment.
