KEY RESPONSIBILITIES

  • Deliver daily administrative assistance encompassing a variety of tasks, including calendar management, document preparation, and data entry.
  • Utilize diverse software applications for composing correspondence, generating reports, and creating presentations that require intricate formatting.
  • Monitor and manage incoming correspondence, ensuring timely processing and routing through established systems.
  • Maintain travel documentation for government-related travel, ensuring compliance with departmental procedures.
  • Facilitate visitor management, coordinating with security for foreign visitors.
  • Assist in the procurement and distribution of office supplies, ensuring adequate inventory levels.
  • Oversee administrative data systems, including contact lists and shared calendars, to enhance operational efficiency.
  • Engage in technical writing and graphic design to produce high-quality materials for various publications.
  • Screen calls and manage inquiries, directing them to the appropriate personnel.
  • Establish and maintain organized filing systems, both physical and electronic, in accordance with best practices.

  • Assist in the coordination of conference room bookings and meeting setups, including preparation of briefing materials.
