Position Summary

The Assistant Project Coordinator plays a crucial role in supporting the Project Manager and Project Coordinator. This position involves close collaboration with Branch Managers and various sales and operations personnel to ensure the successful execution of assigned projects.

Key Responsibilities

  • Facilitate the collection of RFP (Request for Proposal) information from Sales Representatives and Branch Managers.
  • Prepare and distribute bid packages to relevant offices in accordance with established protocols.
  • Address inquiries from offices regarding the RFP process, providing professional communication and problem-solving support.
  • Act as a resource for bidding processes, assisting National Account Managers and other sales staff with customer research and data analysis.
  • Utilize established systems to identify and communicate any discrepancies in RFP rates.
  • Collaborate with sales representatives to evaluate rates and ensure optimal RFP submissions.
  • Reformat rates for customer submissions and verify their accuracy, including online uploads if required.
  • Maintain RFP progress records and generate monthly status reports for management.
  • Work alongside the Project Coordinator to improve the bidding process through innovative ideas and feedback.
  • Utilize strong customer service skills to foster effective relationships with internal and external stakeholders.
  • Provide administrative support to the Project Manager and Project Coordinator, including a variety of clerical and technical tasks.
  • Prepare project materials in various formats, including printed and digital.
  • Demonstrate proficiency in Microsoft Excel to assist with employee inquiries.
