Key Responsibilities

  • Facilitate effective communication between patients and healthcare providers during consultations:
    • Gather and relay essential information to the provider.
    • Follow directives from the healthcare provider.
  • Prepare patients for their appointments, which includes rooming patients, recording vital signs, reviewing intake forms, retrieving imaging results, preparing injection materials, and accurately entering data into the electronic medical records (EMR) system.
  • Coordinate consultations and procedures for specialized treatments.
  • Provide guidance to patients regarding upcoming procedures.
  • Contact potential candidates for specialized treatments as necessary.
  • Process billing for corporate patients through the designated billing platform.
  • Register all scheduled procedures in the appropriate registry.
  • Address inquiries related to billing for self-pay procedures.
  • Order necessary supplies for procedures.
  • Maintain cleanliness and organization of examination rooms, ensuring they are restocked and sanitized regularly.
  • Monitor and replace biohazard and sharps containers as required.
  • Respond to voicemails within a timely manner and document actions in the EMR system.
  • Send laboratory tests as required.
  • Manage inventory of medical supplies and ensure proper maintenance of medical equipment.
  • Scan clinical documents into the EMR system.
  • Print daily schedules for service.
  • Ensure patients receive appropriate education regarding their medical treatments as indicated by the provider.
  • Foster a positive patient experience through excellent service.

Qualifications

  • High school diploma or GED required; completion of an accredited Medical Assistant training program is preferred.
  • One to two years of experience in phlebotomy is preferred.
  • Certification as a Phlebotomy Technician (CPT) is required.
  • In the absence of experience, a Certified Medical Assistant (CMA) certification is necessary.
  • Must pass the Medical Assistant competency exam within the first two years of employment.
  • Must obtain at least one active certification within the first two years of employment, such as Registered Medical Assistant (RMA), Certified Medical Assistant (CMA), Certified Clinical Medical Assistant (CCMA), or National Certified Medical Assistant (NCMA), as per state regulations.
  • BLS certification is preferred.
  • Familiarity with medical office procedures, insurance, managed care operations, EMR, and scheduling software is essential.
  • Strong communication skills are required to interact effectively with physicians, staff, patients, and the public.
  • Knowledge of patient confidentiality, state laws, HIPAA regulations, and medical records procedures is necessary.
  • Proficient computer skills, including experience with medical software, are required.
  • Exceptional interpersonal and communication skills are essential.
  • Ability to work independently as well as collaboratively within a team.
