Healthcare Office Supervisor

MDVIP Practice Management, LLC is seeking a Healthcare Office Supervisor to become an integral part of our team. We provide comprehensive benefits, including Health, Dental, Vision, and 401k plans. This role involves facilitating, planning, and coordinating the operations of both clinical and administrative functions within a Primary Care physician office, all while ensuring high levels of patient satisfaction.
The ideal candidate will possess exceptional attention to detail, strong leadership capabilities, and a commitment to maintaining excellent work standards and consistent results. The ability to interact effectively at all organizational levels as a collaborative team member, coupled with a patient and supportive demeanor, is essential. The work environment is dynamic, requiring a steady and thorough approach to achieve accuracy.
Key Responsibilities
- Assist the Practice Manager in formulating and executing both short-term and long-term operational plans for the Medical Office team.
- Uphold quality care standards by practice staff, prioritizing tasks, assessing effectiveness, and adjusting activities as needed to ensure optimal staffing levels.
- Oversee time-clock management and handle requests for paid time off.
- Identify, analyze, and resolve operational challenges that may impact practice efficiency.
- Supervise front office personnel and serve as the primary resource for addressing workflow issues. Support the recruitment and development of medical office staff.
- Manage various administrative tasks, including maintaining adequate inventory levels, processing invoices, handling incoming correspondence, and overseeing office opening and closing procedures in accordance with established protocols.
- Oversee medical billing functions, including charge reviews, billing processes, follow-ups, refunds, point-of-service collections, and cash management.
- Ensure strict compliance with patient rights and privacy regulations.
Qualifications
- Associate's degree (A.A.) or equivalent from a two-year college, or two years of relevant experience equivalent to one year of education.
- A minimum of 3 years of progressive experience in a supervisory or leadership capacity within a healthcare practice.
- Proficiency with EHR systems is required (experience with Athena is preferred).
- Experience in compiling and summarizing technical and statistical data for reports and records.
- Familiarity with organizational policies, procedures, systems, and objectives.
- Understanding of primary clinical office operations.
- Knowledge of medical terminology relevant to practice settings.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
