Key Responsibilities:
  • Assist Sales Managers in preparing Banquet Event Orders (BEOs), floor plans, and reports.
  • Merge contracts, BEOs, and room diagrams; send to clients and ensure signatures and payments are received.
  • Confirm final counts and details with clients.
  • Ensure deposits are received.
  • Distribute BEOs and room diagrams amongst Management and Kitchen staff in a timely manner.
  • Attend weekly BEO meetings to review final details for events up to 10 days out.
  • Handle all matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Assist with delivering off-site catering orders; complete set-up and ensure all items are included prior to order departing restaurant.
Restaurant Support:
  • Act as gatekeeper for restaurant to ensure all potential revenue generating business is captured and followed through on.
  • Lend support to hostess crew during lunch shifts and other peak periods.
  • Answer restaurant phone, direct phone calls and messages to ensure all potential catering leads, large parties, and a la carte reservations are processed and communicated with Catering Sales Manager or appropriate Front of the House Manager.
  • Maintain inventory of office supplies, stationery, marketing materials, and menus.
  • Communicate clearly and effectively with variety of guests and managers, by phone and by email.
  • Be willing to accept new responsibilities based on the needs of the restaurant.
Requirements:
  • Proven administrative support skills a plus, with an interest in sales.
  • Quickly learn new technologies and acquire new skills.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with clients; Work successfully within a team environment.
  • Written and verbal communication skills.
  • Emotional maturity.
  • Professional appearance and attire required.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Proficient in Microsoft Office (Outlook, Word, Excel); ability to learn Seven Rooms, Social Tables, and Triple Seat programs.
  • Proficiency in Adobe Acrobat and Social Media web platforms is a plus.
