Position Overview:
The Customer Service Administrator plays a crucial role in facilitating sales achievements by executing administrative tasks for designated clients. This role involves collaboration with business leaders, Customer Account Managers, and Regional Sales Managers as necessary, encompassing both pre-award and post-award functions. The administrator ensures effective communication between the organization, its clients, and regulatory bodies.
Key Responsibilities:
- Review and negotiate client purchase orders to ensure adherence to company policies and relevant export and government regulations.
- Manage and administer purchase orders, ensuring essential requirements are communicated and met efficiently.
- Input purchase order details into the ERP system and provide timely acknowledgments to clients.
- Utilize Crane Business System tools to engage in continuous improvement initiatives.
- Respond promptly to client requests for quotes (RFQ) by coordinating internally to relay pricing and delivery information.
- Address accounts receivable issues for the assigned client base.
- Process warranty returns to meet client expectations effectively.
- Build and maintain strong relationships with clients by providing accurate shipment status updates through various communication methods.
- Administer client web-based portals to facilitate the management of returned goods and related transactions.
- Support demand management and ensure accurate client forecasts are entered into the ERP system to drive material requirements and sales planning.
- Ensure compliance with applicable export regulations.
- Validate client scorecards and address discrepancies with actual performance data.
- Provide exceptional customer service through effective communication and problem-solving.
- Assist in training new Customer Service Administrators on essential functions and continuously review processes for improvement.
Qualifications:
- Experience: 2-5 years in a relevant customer service role.
- Knowledge: Familiarity with business administration concepts, customer portals, export regulations, and compliance requirements.
- Skills: Proficient in ERP systems, strong organizational skills, and advanced Microsoft Office capabilities.
- Education: High School Diploma required; Associate's or Bachelor's degree preferred.
