Job Title: Client Relations Specialist

Reports To: The Client Relations Specialist will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Job Overview:

The Client Relations Specialist is responsible for delivering outstanding office and mail services, ensuring operational efficiency in the following areas: managing inbound and outbound mail, distributing and delivering mail, handling shipping and receiving of products and supplies to support the onsite business service center, organizing and replenishing office supplies (such as pens, paper, and toner), ensuring copy and print machines are operational and stocked, providing backup support at the front office (reception/concierge), and performing light maintenance and cleaning tasks.

This role is dedicated to providing the highest level of service to all clients and employees while upholding a professional image of the company through prompt, courteous, and efficient service.

Duties and Responsibilities:
  • Delivers exceptional customer service to all employees through various communication channels.
  • Receives and sorts incoming mail/packages, logging them into the chain of custody software.
  • Manages outgoing mail and package transactions efficiently.
  • Handles shipping and receiving tasks for materials.
  • Notifies employees upon the arrival of inbound deliveries.
  • Distributes mail/packages to company personnel promptly.
  • Acts as a primary contact for inquiries related to mail and packages.
  • Performs daily operations of multi-function devices, ensuring they are functional and stocked with necessary supplies.
  • Submits work orders for specific requests as needed.
  • Maintains and replenishes the barista, pantry, conference, kitchen, or meeting areas.
  • Sets up meeting and conference rooms as required.
  • May assist with relocations within assigned facilities.
  • Completes light maintenance and cleaning duties as assigned.
  • Keeps the Business Service Center area organized and tidy.
  • Monitors office supply levels and orders accordingly.
  • Assists with copy and print orders, ensuring equipment functionality.
  • Proactively seeks additional tasks during downtime.
  • Builds professional relationships with clients and other teams.
  • Maintains professionalism and composure in all interactions.
  • Trains backup personnel and provides guidance on policies and procedures.
  • Identifies additional support needs when addressing sensitive inquiries.
  • Delivers exceptional customer service to clients.
  • Provides reception or concierge coverage as necessary.
Competencies:
  • Strong verbal and written communication abilities.
  • Excellent customer service skills.
  • Proficient in MS Office Suite.
  • Able to manage multiple tasks simultaneously.
  • Good organizational capabilities.
  • Familiarity with multi-function device operations.
  • Knowledge of shipping and receiving procedures and ability to follow instructions.
  • Ability to work independently and complete projects effectively.
  • Capable of determining appropriate packing methods and validating packing slips for accuracy.
Qualifications and Education Requirements:
  • High School Diploma (or equivalent) required.
  • 1+ years of relevant work experience preferred.
  • Able to work assigned hours as determined by management.
  • Strong organizational and time management skills.
  • Analytical skills and problem-solving aptitude.
  • Excellent written and verbal communication skills.
  • Current knowledge or ability to learn necessary computer-based systems.
  • Required to maintain a professional appearance and demeanor.
  • Adherence to all company policies and procedures is essential.
Physical Demands:
  • This position requires physical demands approximately 50% of the time, including:
    • Fine and gross motor skills, including the ability to grasp, lift, and move packages using a standard wheeled cart with a load capacity of 60 lbs.
    • Ability to walk, bend, kneel, stand, and sit for extended periods.
    • Manual dexterity for operating office machinery (phones, copy machines, binding equipment, etc.).
    • Ability to lift or move 40 lbs. or more frequently.
