Event Coordinator - Spare Time Entertainment

Event Management Responsibilities

Utilize Spare Time Service Standards (Code S.E.R.V.E.) to interact with clients in a professional manner.

Plan and assist in the design and execution of various events, such as corporate gatherings, team-building activities, fundraising events, and celebrations.

Engage with clients to ascertain their requirements and outline the event's scope, including scheduling, theme selection, menu recommendations, and any additional equipment needed.

Participate in weekly meetings and all mandatory training sessions.

Coordinate logistics and communicate event details with relevant managers, departments, and staff.

Specify the requirements for event staff and oversee their activities from setup to breakdown.

Manage event logistics, including seating arrangements, decor, catering, entertainment, transportation, guest lists, special guests, equipment, and promotional materials.

Proactively address any issues that arise and troubleshoot problems on the day of the event.

Ensure compliance with all insurance, legal, health, and safety regulations.

Conduct evaluations before and after events, reporting on outcomes and following up with guests regarding their experiences.

Provide feedback and weekly reports to management.

Propose innovative ideas to enhance service quality and event experiences.

Utilize event planning software to maintain a comprehensive contact database with event details.

Adhere to established pricing guidelines and negotiate contracts prior to finalizing any agreements.

Sales and Marketing Duties

Research the local market to identify potential sales opportunities and develop campaigns to leverage these opportunities.

Establish new client relationships and maintain connections with existing clients through regular engagement.

Enhance community awareness by participating in local activities, events, and networking meetings.

Assist in conducting market research to ensure competitiveness in the area.

Collaborate with marketing to promote and publicize upcoming internal events.

Qualifications

Skills and Experience

Intermediate proficiency in Microsoft Office is required.

Preferred: A minimum of two years of event planning experience in the hospitality or recreation sector, along with at least one year of experience in event sales.

Strong time management, organizational skills, attention to detail, and the ability to work effectively under pressure are essential.

Availability to work a flexible schedule based on business needs.

Excellent verbal and written communication skills are necessary, with the ability to engage professionally with community members.

Education

Preferred: Bachelor's degree or higher.
