Position Overview

The University of California is seeking a meticulous and proactive Finance Administrative Support Specialist to enhance our Finance team within the Health Information Services department.

This role encompasses a variety of customer service and financial support functions tailored for Information Services departments and projects.


Key Responsibilities:

Customer Service & Support:
  • Address customer inquiries and requests regarding billing, payments, and financial transactions.
  • Resolve customer issues promptly and professionally, escalating complex matters to the appropriate personnel.
  • Maintain comprehensive records of customer interactions and transactions.

Financial Processing & Research:
  • Assist in the execution of financial transactions, ensuring adherence to accuracy and compliance with institutional policies.
  • Investigate and rectify discrepancies in financial data, collaborating closely with finance analysts to gather essential information.
  • Support the finance team in troubleshooting transaction issues, including payment discrepancies, invoicing, and account reconciliations.

Administrative Support:
  • Conduct data entry tasks, ensuring the precise and timely input of financial information into the organization’s financial systems.
  • Assist in the preparation of financial reports, documents, and presentations for both internal and external stakeholders.
  • Maintain organized and current financial records and filing systems.
  • Coordinate and schedule meetings, appointments, and other administrative responsibilities as required.

Reconciliation & Reporting:
  • Assist in the reconciliation of accounts, ensuring all transactions are accounted for and discrepancies are promptly addressed.
  • Support finance analysts in generating monthly, quarterly, and annual financial statements and reports.
  • Help monitor financial performance and identify opportunities for improvement or efficiency enhancements.

Minimum Qualifications:

Six (6) years of relevant experience, education/training OR a Bachelor's degree in a related field and/or equivalent experience/training, plus two (2) years of related experience.

Proficient understanding of finance policies, practices, and systems.

Ability to gather and organize information for basic financial analysis tasks.

Demonstrated capability to present information clearly and concisely, both verbally and in writing.

Experience using spreadsheet and database software for moderately complex financial analysis and reporting.

Strong interpersonal skills at all levels within the organization; excellent service orientation, critical thinking skills, and attention to detail.

Ability to manage multiple tasks in a high-volume environment and adapt to changing priorities.


Preferred Qualifications:
  • Experience with general ledger reconciliation.
  • Demonstrated experience in a finance or administrative support role within a finance department.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with financial software or ERP systems is advantageous.
  • Experience in a large, high-volume organization.

Independent and Team Oriented:

Capable of working independently while effectively collaborating with various team members and stakeholders.
