About the Position:

The Commonwealth of Virginia is seeking a highly skilled and detail-oriented Associate Registrar to join our team at the George Mason University Antonin Scalia Law School. As a key member of our administrative team, you will be responsible for providing accurate data and services to students, alumni, faculty, and staff, while implementing law school policies and academic regulations.

Responsibilities:

  • Manage and oversee all aspects of law school midterm and final exams, including creation of course exam schedules, development of exam production schedules, and coordination with faculty and IT staff.
  • Troubleshoot and resolve exam testing issues, including handling communications with law school associate deans and faculty.
  • Review, update, and disseminate office communications to students and faculty regarding exam administration and exam policies and procedures.
  • Review and determine changes to student exam schedules in accordance with law school academic regulations.
  • Receive and handle exam accommodations, ensuring accommodations are properly implemented and anonymity is protected.
  • Build and manage internal grading software used by faculty to record final grades, verify grades, and process cumulative ranks and awards.
  • Identify students subject to academic probation or dismissal, produce and send notifications, and prepare materials for Academic Standing and Student Affairs Committee meetings.
  • Oversee examination retention and destruction, in accordance with established policies and regulations.
  • Execute degree audits for JD students, certify students for graduation and bar examinations, and respond to record verification requests.
  • Monitor students on approved leaves of absence, track students subject to academic standing, and analyze and prepare enrollment, grading, and bar reports.
  • Assess transfer student transcripts, prepare transfer credit evaluations, and review and submit graduate names, honors, and awards for commencement activities.
  • Coordinate with the Assistant Dean Academic Administration, Student Records Coordinator for Graduate Programs, and University Registrar's office to set up JD/JM/LLM class schedules and registration for each semester/term.
  • Update charts created to track distance education credits and CR/Out-of-Class credit, troubleshoot student registration issues, and counsel students on academic records and planning questions.
  • Assist with updates to law school information in the University Catalog and support the work of other law school offices by providing data and reports and allowing access to student records in compliance with FERPA.
  • Interpret, implement, and troubleshoot academic policies for students, faculty, and academic administrators, and advise faculty, staff, and students on the same.

Required Qualifications:

  • Master's degree in a related field or equivalent combination of education and experience.
  • Related professional experience working within a registrar's office with demonstrated progressive responsibilities (generally 3+ years).
  • Demonstrated proficiency with Microsoft Word, Excel, and Outlook.
  • Experience supervising others.
  • Demonstrated attention to detail, comfort working with numbers and basic mathematical calculations, and ability to assess data and situations.
  • Ability to work collaboratively with a wide range of stakeholders, including students, alumni, faculty, senior leadership, and other university administrative departments.
  • Excellent customer service skills.
  • Ability to provide professional direction, guidance, and counsel.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Ability to be effective under pressure and able to meet deadlines.

Preferred Qualifications:

  • Terminal degree in a related field.
  • Experience in law school administration.
  • Functional experience using Banner (ERP).
  • Prior experience with Examsoft/Examplify and Courseleaf is highly desired.
  • Ability to be comfortable working and managing independently.
