About the Position

The Commonwealth of Virginia is seeking a highly skilled and detail-oriented Associate Registrar to join our team at the George Mason University Antonin Scalia Law School. As a key member of the Records Office, you will play a critical role in providing accurate data and services to students, alumni, faculty, and staff.

Responsibilities

The Associate Registrar will be responsible for:

  • Managing and overseeing all aspects of law school midterm and final exams, including creation of course exam schedules, development of exam production schedules, and coordination with IT staff for exam support.
  • Troubleshooting and resolving exam testing issues, including handling communications with law school associate deans and faculty.
  • Reviewing, updating, and disseminating office communications to students and faculty regarding exam administration and exam policies and procedures.
  • Reviewing and determining changes to student exam schedules in accordance with law school academic regulations.
  • Receiving and handling exam accommodations, ensuring accommodations are properly implemented and anonymity is protected.
  • Building and managing internal grading software used each semester by faculty to record final grades, verifying grades before submission for compliance with established curves, and overseeing grade entry.
  • Identifying students subject to academic probation or academic dismissal in accordance with law school's academic performance regulations, producing and sending out notifications to students, and preparing materials for Academic Standing and Student Affairs Committee meetings.
  • Overseeing examination retention and destruction, in accordance with established policies, regulations, and guidelines.
  • Executing degree audits for JD students, executing degree audits for JM/LLM pre-graduation audits, certifying students for graduation and bar examinations, and responding to other record verification requests.
  • Monitoring students subject to academic standing, probation, suspension conditions, tracking students on approved leaves of absence, analyzing and preparing enrollment, grading, and bar reports for staff, faculty, and outside entities.
  • Assessing transfer student transcripts and preparing transfer credit evaluations, and reviewing and submitting graduate names, honors, and awards for commencement activities and program.
  • Coordinating with the Assistant Dean Academic Administration, Student Records Coordinator for Graduate Programs, and University Registrar's office the set-up of JD/JM/LLM class schedules and registration for each semester/term, including establishing time tickets, setting up exam schedules, creating new courses, and modifying existing courses.
  • Updating charts created to track distance education credits and CR/Out-of-Class credit, troubleshooting student registration issues, counseling students on academic records, degree audits, and planning questions, and assisting with updates to law school information in the University Catalog.
  • Overseeing Records Office personnel, including allocation and delegation of essential functions, enforcement of internal procedures and controls, evaluation of performance, and motivating employees to achieve peak productivity and performance.
  • Responsible for short- and long-term planning and management of the Records Office, in consultation with senior law school administrators and University Registrar's office, advocating law school needs, and ensuring they are incorporated into University-wide software and program initiatives.
  • Supporting work of other law school offices by pulling data and providing reports and allowing access to student records in compliance with FERPA, coordinating with other University offices, including the University's Registrar's Office, Disability Services, Student Accounts, and Financial Aid.
  • Interpreting, implementing, and troubleshooting academic policies for students, faculty, and academic administrators, advising faculty, staff, and students on the same, and serving on several academic faculty committees as assigned by the Dean of the law school and on University committees where approved by the Dean of the law school or position supervisor.
Requirements

The ideal candidate will possess:

  • A Master's degree in a related field or an equivalent combination of education and experience.
  • Related professional experience working within a registrar's office with demonstrated progressive responsibilities (generally 3+ years).
  • Demonstrated proficiency with Microsoft Word, Excel, and Outlook.
  • Experience supervising others.
  • Demonstrated attention to detail, comfort working with numbers and basic mathematical calculations, and ability to assess data and situations.
  • Ability to work collaboratively with a wide range of stakeholders, including students, alumni, faculty, senior leadership, and other university administrative departments.
  • Excellent customer services skills.
  • Ability to provide professional direction, guidance, and counsel.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Ability to be effective under pressure and able to meet deadlines.
Preferred Qualifications

The following qualifications are highly desirable:

  • A terminal degree in a related field.
  • Experience in law school administration.
  • Functional experience using Banner (ERP).
  • Prior experience with Examsoft/Examplify and Courseleaf.
  • Experience with Appointlink grading module.
  • Ability to be comfortable working and managing independently.
