Bookkeeper / Office Assistant Position

Gilmore & Gilmore, CPAs is seeking a skilled Financial Operations Coordinator to support our team in delivering exceptional accounting services to our clients.

Compensation: $55,000 - $70,000 per year

In this role, you will play a critical part in maintaining smooth operations by handling bookkeeping tasks, administrative duties, and supporting our team in delivering exceptional service to our clients.

  • Main Responsibilities:
  • Maintain accurate client financial records using QuickBooks Desktop or Online:
    • Handle all aspects of bill paying either through accounts payable or downloading and recording expenses paid through client bank account.
    • Record customer receivable payments
    • Record and track client income and expenses, ensuring proper categorization and compliance.
    • Perform bank and credit card reconciliations
    • Assist with payroll and filing payroll returns, sales tax returns and other compliance-related documents.
  • Assist with tax preparation tasks on Lacerte Software.
  • Manage engagement letter production, answer phones, schedule appointments, scan and organize files.
  • Assist with onboarding new clients and maintaining client records.
  • Provide general administrative support to ensure efficient office operations.

Requirements:

  • Previous experience in bookkeeping or office administration (experience in a CPA or accounting firm is a plus).
  • Proficiency in QuickBooks and Microsoft Office Suite
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and commitment to accuracy.
  • Professional communication skills and a client-focused attitude.
