Position Title: Receptionist/Administrative Assistant
Overview:
- Provides support to clients and assists the office manager with various administrative tasks.
Key Responsibilities:
- Welcomes guests and collects necessary information, informing relevant personnel of their arrival.
- Handles incoming calls, directing them to the appropriate staff or providing information as per company guidelines.
- Accurately records and delivers messages.
- Keeps a detailed log of calls that require follow-up.
- Receives and signs for deliveries, notifying the intended recipient upon arrival.
- Performs a range of routine clerical duties.
- Ensures the reception area is tidy and organized.
- Sorts, retrieves, and distributes mail.
- Types and reviews various documents, including letters and reports, ensuring accuracy and efficiency.
- Utilizes word processing software or personal computers for tasks.
- Manages incoming mail distribution.
- Coordinates scheduling for meetings and appointments.
- Arranges travel logistics as needed.
- Establishes and maintains filing systems and records.
- Orders office supplies when necessary.
- Performs additional clerical tasks as required.
- The company reserves the right to modify duties as needed.
Qualifications:
- Education: High school diploma or equivalent.
- Experience: Previous office experience is required.
- Language Skills: Proficiency in both Spanish and English is mandatory.
