Job Description

Position Title: Receptionist/Administrative Assistant

Overview:

  • Provides support to clients and assists the office manager with various administrative tasks.

Key Responsibilities:

  • Welcomes guests and collects necessary information, informing relevant personnel of their arrival.
  • Handles incoming calls, directing them to the appropriate staff or providing information as per company guidelines.
  • Accurately records and delivers messages.
  • Keeps a detailed log of calls that require follow-up.
  • Receives and signs for deliveries, notifying the intended recipient upon arrival.
  • Performs a range of routine clerical duties.
  • Ensures the reception area is tidy and organized.
  • Sorts, retrieves, and distributes mail.
  • Types and reviews various documents, including letters and reports, ensuring accuracy and efficiency.
  • Utilizes word processing software or personal computers for tasks.
  • Manages incoming mail distribution.
  • Coordinates scheduling for meetings and appointments.
  • Arranges travel logistics as needed.
  • Establishes and maintains filing systems and records.
  • Orders office supplies when necessary.
  • Performs additional clerical tasks as required.
  • The company reserves the right to modify duties as needed.

Qualifications:

  • Education: High school diploma or equivalent.
  • Experience: Previous office experience is required.
  • Language Skills: Proficiency in both Spanish and English is mandatory.

Required Skills:

  • Strong verbal and written communication abilities.
  • Customer service orientation.
