Key Responsibilities:

Operational Infrastructure Development & Management:

  • Evaluate and identify the organization's infrastructure requirements to facilitate growth and scalability.
  • Design and implement infrastructure strategies that optimize resources, enhance efficiencies, and reduce costs.
  • Enhance or maintain existing operational processes and systems.
  • Oversee office facilities, equipment, and resources to ensure optimal usage.

  • Manage website and online presence effectively.
  • Collaborate with executive leadership to develop and execute strategies that align with overarching business objectives.
  • Act as a sounding board for the executive team and other personnel on various topics.

  • Address and resolve system or infrastructure issues as they arise.

Team & Office Management:

  • Conduct regular staff meetings to ensure cohesive scheduling and task management.
  • Oversee team organization, scheduling, and progress tracking.
  • Build and maintain strong relationships with external vendors, suppliers, partners, and clients.
  • Implement and manage the maintenance of company assets, software, and physical properties.
  • Supervise external contractors across various domains (marketing, human resources, IT infrastructure, etc.) and assist with corresponding internal functions.
  • Support all team members in maintaining accountability for schedules and tasks.

Qualifications:

  • Bachelor's degree preferred (not mandatory).
  • A minimum of 10 years of experience in office management, business management, or operations.

  • Proficiency in MS Office Suite.
  • Basic understanding of (or willingness to learn) IT systems.
  • Strong proficiency in systems thinking (understanding how changes in one area can impact others).
  • Preferred experience includes project management, contract/grant administration, and marketing.
