Job Summary

Under the joint direction of the Director of Phase 2 and the Director of Academic Affairs, the Senior Program Coordinator (Phase 2) is responsible for managing the implementation and operational activities of the UT Tyler School of Medicine's educational program for Phase 2. The Senior Program Coordinator, working together with the faculty of Phase 2, oversees the coordination and scheduling of clerkships for the medical education program.

Key Responsibilities
  • Acts as the primary point of contact for faculty course directors to provide guidance and operational support relating to course development and delivery in the Clerkship curriculum.
  • Manages program files and data, which may include individual learner files as well as program accreditation documentation in accordance with relevant regulatory and University policies.
  • Serves as point person for learners, which may include prospective health professions education program candidates; current health professions education learners; and all other stakeholders.
  • Serves as primary point of contact for Phase 3 course inquiries, troubleshooting and monitoring mid-course check-in progress.
  • Manages operational components of the program specific to learners.
  • Manages the Clerkship course building and registration process for 40 Phase 2 students with individualized schedules.
  • Works with other medical school departments and/or faculty to meet the educational needs of program learners through collaborative development and implementation of programmatic activities, which may include program competencies, curriculum, and exams.
  • Collaborates with program faculty and leadership to develop learner assessment documentation, including assessment tools and assessment strategies/timelines. Implements learner assessment strategies and ensures compliance with deadlines.
  • Analyzes program performance, curriculum effectiveness, and impact of educational activities.
  • Develops and maintains program communication resources, which may include maintaining the program website to ensure updated information and program requirements; generating informational brochures; creating and updating program or course syllabi; assisting with journal submissions; manages program marketing and collateral production; and maintaining email and address lists.
  • Analyzes a wide range of educational issues and applies project management principles and practices to achieve results in an academic setting. May work with matrixed teams of professionals and key stakeholders to deliver effective results.
  • Contributes to ongoing continuous quality improvement activities related to the educational program.
  • Monitors learner files as well as program documentation and policy to ensure compliance with established and evolving standards.
  • Provides cross-coverage for the Senior Program Coordinator (Phase 1).
  • Liaises between program and/or departmental administration and University stakeholders.

  • Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines.
  • Thorough knowledge of relevant policies and regulatory requirements.
