Job Overview

The Payroll Administration Associate plays a crucial role in managing a variety of financial and administrative responsibilities. This position involves assisting with the timely completion of biweekly payroll and supporting the Finance Director in achieving the organization’s financial objectives. The Payroll Administration Associate is expected to uphold accurate records while ensuring compliance with all relevant laws and company policies. Integrity, ethics, and accountability are paramount in this role, as the Payroll Administration Associate serves as a vital support for all staff members.

Key Responsibilities

Payroll Responsibilities:

  • Prepare and record receipts, deposits, purchase orders, invoices, refunds, and other standard bookkeeping tasks.
  • Review and process employee reimbursements.
  • Prepare and submit payroll in a timely manner.
  • Generate financial and inventory reports as needed.
  • Identify and rectify any miscalculations or financial discrepancies.
  • Maintain and update databases to ensure accuracy.
  • Stay informed about all relevant regulations, requirements, and laws.
  • Process new hires, promotions, and terminations efficiently.
  • Issue paychecks and ensure employees receive their compensation accurately.
  • Investigate and resolve any payroll discrepancies.
  • Maintain and update payroll records consistently.
  • Perform additional duties as assigned by the administration team.

Administrative Responsibilities:

  • Provide front desk customer service, including answering phones and welcoming guests.
  • Maintain a clean and professional reception area.
  • Manage appointment schedules and deadlines effectively.
  • Communicate clearly with customers, clients, team members, and management.
  • Develop and uphold administrative processes.
  • Organize and maintain a systematic filing system.
Qualifications

  • Minimum of 2 years of experience in a similar role (preferred).
  • Familiarity with Paylocity software (preferred).
  • Proficient in accounting software (e.g., QuickBooks), spreadsheets (e.g., MS Excel), and databases (e.g., MS Access).
  • Able to quickly learn and adapt to new software and processes.
  • Strong understanding of bookkeeping practices, including crediting and debiting accounts, posting entries, and reconciling accounts.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively in a team environment and with upper management.
  • High level of critical thinking and analytical skills.
  • Strong organizational and time management abilities.
  • Capable of working effectively under pressure and meeting deadlines.
  • Commitment to maintaining the highest standards of compliance and confidentiality.
