Job Title: Administration and Operations Support Specialist

Aleta Technologies, Inc. is a leading provider of critical infrastructure solutions. We specialize in ICS and FRCS and proudly serve both Fortune 500 Companies and Federal Government Customers.

Responsibilities:
  • Plan, direct, and coordinate administrative support services such as record keeping, document destruction, mail distribution, telephone operator/receptionist, and other office support services.
  • Ensure adequate supplies for the office and maintain accurate and updated inventories. Arrange for purchase of office supplies and equipment as needed.
  • Produce weekly status reports on the progress of action items and initiatives for the function.
  • Provide support to business development and other departments of the company such as the Director of Solutions and Program Managers with booking conferences, flights, & hotels and travel expenses.
  • Prepare customer reports weekly and monthly.
  • Schedule meetings for senior leadership, as requested and ensure Aleta events calendar is up to date.
  • Courier services as need (Monitor our physical mailbox and corporate email).
  • Assist Facility Security Officer with security items.
Inventory Management:
  • Oversee Aleta Owned Equipment, Aleta-Owned IT equipment, Customer Provided Equipment (CPE), Government Furnished Equipment (GFE), Deloitte Equipment, and CSTPL equipment.
  • Liaison with Fire & Life Safety Vendor for our fire extinguisher, fire panel, and lighting inspections.
  • Maintain physical and digital files for employees' documents and benefits.
  • Take ownership of documenting and maintaining all business support services stand operating procedures, ensuring compliance with federal regulations.
  • Create and distribute internal communications regarding status changes, benefits, or company policies.
Qualifications:
  • U.S. citizenship is required by federal law.
  • Proficient in Microsoft Suite (Word, PowerPoint and Basic Excel functions).
  • Excellent organizational skills, attention to detail, and sound skills in written and verbal communication.
  • May require lifting up to 25 pounds.
  • Requires visual acuity to use a keyboard and monitor.
  • Technical Writing and experience with proposals preferred.
  • Ability to create simple graphics and lead marketing efforts preferred.
