Key Responsibilities:

  1. Promptly answer incoming calls, ideally by the third ring, ensuring calls are identified and directed to the appropriate department efficiently.
  2. Exhibit professional telephone etiquette when receiving, transferring, and placing calls on hold, minimizing hold times.
  3. Effectively schedule appointments, documenting them in accordance with practice policies.
  4. Accurately input patient demographic information and insurance details into the system as required.
  5. Verify insurance information and collect necessary referrals and authorizations.
  6. Ensure patients complete all relevant forms accurately and thoroughly.
  7. Notify the Office Secretary or Office Coordinator when supplies are nearing reorder levels.
  8. Facilitate the copying of patient records as requested by insurance companies or other medical offices.
  9. Manage daily receipts, journals, and deposits to the cashier.
  10. Assemble batches for daily superbills for physicians and prepare them accurately for submission to the billing company.
  11. Perform administrative and clerical tasks, such as filing, as needed.

Qualifications:

  • 1-3 years of experience in a healthcare environment is preferred.
  • A High School Diploma is required.
  • Bilingual proficiency in English and Spanish is preferred.
  • Strong interpersonal and communication skills are essential.
  • Proficiency in Microsoft Office Suite (Word and Outlook) is required.
