Responsibilities- Supervise and train clerical office staff, ensuring they meet administrative requirements and provide excellent support to physicians and patients.
- Work closely with the Director of Operations to monitor scheduling and staffing levels, ensuring day-to-day operations align with established standards.
- Ensure clinic administrative support staff meets the needs of their assigned areas and physicians, and that all administrative requirements are being met.
- Provide oversight of clinic staff, physician, and patient appointment schedules to ensure operational requirements and established standards are being met.
- Monitor patient utilization data, provider schedules, contract requirements, and requests for care to ensure staffing levels and clinical personnel mix are appropriate.
- Interview, select, and train clinical support staff, ensuring they meet the needs of the clinic.
- Ensure timely submission of timekeeping documents and monitor leave, working with the Director of Operations and Health Systems Assistant Administrator to monitor assigned clinic grants and contracts.
- Ensure compliance with applicable HIPAA, HCFA, Risk Management, OSHA, CLIA, federal, state, and institutional regulations for assigned areas.
- Coordinate submission of applications with Credentialing Services for new and renewal clinical provider numbers.
- Assist in managing business operations throughout the clinic, creating, implementing, and facilitating clinic functions to maximize efficiencies and maintain budget controls.
- Assist with preparation of annual budgets for the clinic, monitoring financial expenditures, and identifying cost-effective approaches.
- Ensure preparation and distribution of reports regarding clinic activities, functions, costs, and utilization.
A Bachelor's degree from an accredited institution and one year of supervisory experience in a medical business office setting are required. Directly related experience may substitute on a year-for-year basis for the required education.
