Summary of the Role

This role is pivotal in managing the reception and registration processes for both new and returning donors.


• Oversee the reception and medical personnel.


• Support management in the daily operations of the center, focusing on the development of reception and medical teams, evaluating and enhancing processes, resolving issues, and managing donor flow.

Key Responsibilities

  1. Ensure compliance with Standard Operating Procedures (SOPs) while supervising daily operations of reception, medical, and customer service teams. Provide clear guidance and expectations, hold meetings, and communicate performance standards effectively. May involve performing tasks in various work areas. Report any employee relations issues or escalated donor concerns to management.
  2. Collaborate with management and supervisory staff to streamline donor movement throughout the center, reducing wait times and processing delays.
  3. Supervise activities in reception and medical areas to guarantee proper management of supplies and materials. Organize and deliver training for medical and reception staff.
  4. Address equipment maintenance promptly, ensuring regular updates on equipment status and documentation.
  5. Maintain adequate staffing levels in reception and medical areas to support operations based on center size, structure, and donor flow. Develop schedules for direct reports in accordance with company policies. Monitor attendance and overtime practices.
  6. Conduct investigations, engage in root cause analysis, and propose recommendations for process enhancements.
  7. Participate in performance evaluations and provide constructive feedback in collaboration with management. Document necessary corrective actions as directed.
  8. Assist management in the recruitment and selection of operational staff for the center.
  9. Serve as a liaison for the Center Medical Director and Divisional Medical Director, coordinating their activities.
  10. Ensure adherence to all Standard Operating Procedures (SOPs) and company policies by staff.
  11. Comply with all applicable local, state, and federal regulations, including but not limited to: ADA, Civil Rights, EEOC, FDA, GHA, HIIPA, and OSHA.
  12. Attend selected Center Leadership meetings to present relevant medical topics. Conduct and document monthly medical meetings.
  13. Ensure accurate donor data entry in the electronic donor information management system as per SOPs.
  14. Provide medical oversight for center specialty programs and employee health initiatives. Understand policies related to hyper immune programs as applicable.
  15. Maintain a clean and efficient work environment, ensuring the availability of necessary operating supplies and forms. Adhere to all Health Safety and Environmental (HSE) and Occupational Safety and Health Administration (OSHA) policies. Conduct routine audits of internal procedures and documentation.
  16. Foster a workplace free from harassment or intimidation, promptly reporting any incidents to management and Human Resources.
  17. Uphold a professional image and maintain confidentiality of all company records and information.
  18. Be prepared to be cross-trained in various technical areas and functions to meet business needs.
  19. Bilingual skills may be beneficial, at the discretion of the organization, to address business requirements.
  20. Undertake additional job-related responsibilities as assigned.

Qualifications


• Active state licensure from a paramedic, nursing, physician assistant, chiropractic, naturopathic training program, or medical school required OR


• Completion of a foreign allopathic or osteopathic medical school, provided the individual is currently licensed as a physician or certified as an EMT in the state.

Experience


• Previous supervisory experience in a regulated environment is strongly preferred.

Working Environment

• Must be able to interact with customers and observe equipment operations.


• Occasionally perform tasks while standing and walking for extended periods.


• Assess and examine skin and other abnormalities through visual and tactile means.


• Engage in physical activities such as reaching, bending, kneeling, and demonstrate a high level of manual dexterity.


• Occasionally lift and carry items weighing up to 25 pounds.


• Work in a fast-paced environment with frequent interruptions.


• Regular exposure to hazardous materials, extreme temperatures, and bloodborne pathogens.


• Personal Protective Equipment is required during specific tasks or in designated areas.


• Willingness to work overtime and extended hours as needed to support operational requirements.
