Job Summary

We are seeking a highly organized and detail-oriented Accounts Receivable Specialist to join our team at TradeWinds Island Resort. As a key member of our accounting department, you will be responsible for ensuring accurate and timely billing of group functions and wholesalers for services rendered at our Island Grand property.

Key Responsibilities
  • Review group resumes to ensure accurate accounting notes are provided.
  • Meet with group onsite contacts to discuss billing and ensure accuracy.
  • Work with sales and front desk teams to ensure group billing is set and accurate.
  • Post third-party vendor charges and process matching invoices for payment.
  • Audit final group folios for accurate charges and room billing.
  • Send final invoices to group contacts within 5 business days of group departure.
  • Perform daily reconciliation of tax-exempt revenue and make adjustments as needed.
  • Assist guests with questions on their folios after departure and resolve any complaints or errors.
Weekly Duties
  • Attend weekly resume meetings to review group billing and ensure accuracy.
  • Follow up with groups two weeks after final invoices are sent to ensure payment.
  • Follow up with groups that have aged over 30 days to ensure timely payment.
Miscellaneous
  • Assist Accounts Payable in filing invoices paid after each check run.
  • Cross-train to cover days off or vacation for Accounts Receivable - Wholesaler.
  • Audit F&B checks settled with non-credit card, cash, or room charge methods.
  • Cover shifts as needed in the cash office.
  • Assist in special projects as determined by Accounting Manager(s).
Requirements
  • High School diploma or equivalent required.
  • At least one year of progressive experience in a hotel or related field preferred.
  • College coursework in a related field helpful.
  • Ability to understand and utilize basic computer equipment and applications.
  • Effective communication and interpersonal skills.
  • Ability to multitask and prioritize departmental functions to meet deadlines.
