IT Project Management Specialist II

Overview: The IT Project Management Specialist II is responsible for directing projects associated with designated accounts and initiatives. This role ensures effective communication among all stakeholders and develops comprehensive project planning and execution documentation to guarantee successful project delivery. The specialist will establish budgets, timelines, milestones, and schedules, ensuring the project team adheres to the defined criteria. This position also provides leadership, mentorship, training, and oversight to the project coordination team assigned to their projects.

Key Responsibilities:

  • Maintain consistent and timely communication throughout the project lifecycle with internal teams using various communication tools, adhering to departmental standards and company policies.
  • Define and communicate project requirements to relevant stakeholders to establish milestones, timelines, funding guidelines, procedures, processes, and reporting frequencies necessary for successful project completion.
  • Identify technical requirements, assist in the creation of technical documentation, and address questions/requirements to support the coordination team in selecting technicians.
  • Develop internal resource plans to assess the number, duration, and roles of all resources needed for successful project completion, sharing this information with the team to ensure proper resource allocation across all projects.
  • Create a detailed coordinator walkthrough, documenting responsibilities and project requirements assigned to the coordination team, and monitor these throughout the project duration.
  • Evaluate client needs based on provided specifications and develop project scope, timelines, budgets, and documentation, including risk assessments, communication plans, project plans, change management, and issue logs.
  • Update the internal project and management teams regarding changes that impact the resource plan.
  • Report project issues, concerns, escalations, potential risks, project failures, and budget overruns to the internal project and management teams.
  • Lead and facilitate internal and external project meetings, ensuring agendas and meeting minutes are maintained.
  • Prepare status reports for billing and audit purposes.
  • Create and deliver client-facing Quarterly Business Reviews (QBRs).
  • Conduct project closeout meetings, including lessons learned sessions with clients and project team members.
  • Regularly provide performance evaluations of the project coordination team, highlighting strengths, areas for improvement, and setting goals for ongoing development based on employee feedback and key performance indicators.
  • Participate in the hiring process for coordination staff members.
  • Offer continuous training and leadership to the project coordination team through training videos, documentation, and mentorship.

Qualifications:

Exceptional verbal and written communication skills, including typing proficiency.

Comprehensive understanding of project management principles and practices.

3-5 years of experience in project management.

Proficiency in internet search engines, basic data entry, and data management, along with familiarity with Microsoft 365. Willingness to learn new software as it becomes available.

Understanding of IT services, including basic knowledge of network infrastructure, structured cabling, and end-user devices supported within the IT services industry.

Strong leadership capabilities.

Associate degree in Management, Business Administration, Communications, or Computer Science, or a Bachelor's degree.

PMP or Project Management coursework is a plus.

A+ and technical certifications are advantageous.

ITIL certifications are beneficial.

  • ITIL 4 Foundation
