This pivotal position is designed for individuals who excel in problem-solving and are committed to delivering exceptional administrative support to Financial Advisors, as well as their current and prospective clients.
The ideal candidate will possess outstanding communication skills across various platforms, including phone, email, and virtual interactions. They should be adept at organizing, managing, and tracking multiple tasks and assignments, often with shifting priorities and deadlines in a dynamic work environment.
Key Responsibilities
• Act as the primary point of contact for a high volume of daily interactions, addressing inquiries, providing quotes, and scheduling meetings with clients through various communication channels.
• Assist in standardizing best practices for activities such as client onboarding, managing liquidity events, and monitoring private placements.
• Engage in trading activities for both discretionary and non-discretionary products, maintaining models and tracking performance.
• Provide support for alternative investments and foreign accounts, ensuring proper setup and maintenance.
• Participate in client meetings alongside Financial Advisors as needed.
• Oversee budgeting and tracking of Financial Advisor expenses.
• Generate reports to enhance practice efficiencies and identify key performance metrics, contributing to the overall improvement of team performance.
• Facilitate the onboarding of new clients, including account openings and conducting research on client and security information using internal systems.
• Ensure that client information and documentation comply with firm and industry standards, rules, and regulations.
• Collaborate effectively within a team environment while also being capable of working independently to provide essential support to Financial Advisors and branch staff.
• May solicit orders from clients under the direction of Financial Advisors and handle unsolicited orders as appropriate.
• Support Financial Advisors in marketing initiatives, including seminars and client engagement events.
• Actively participate in training and professional development opportunities to stay updated on firm and industry policies.
• Serve as a mentor and resource for junior team members, managing team workflow to enhance operational efficiencies.
• Perform additional duties as assigned.
Qualifications
• Knowledge of the company's structure, policies, and strategies.
• Familiarity with managed account platforms and general office practices.
• Understanding of advanced investment concepts and industry regulations.
• Proficiency in Client Relationship Management (CRM) software and Excel for reporting purposes.
• Ability to communicate effectively across various platforms and manage multiple tasks in a fast-paced environment.
• High School Diploma or equivalent, with a minimum of five years of experience in the financial services industry.
• Relevant licenses and certifications, including SIE, Series 7, and any state-required registrations.
