Job Summary

The Client Service Associate will provide administrative, operational, and analytical support to one or more 1919 Portfolio Managers, Investment Associates, and Client Advisors. This role involves day-to-day administrative management of individual client, institutional, and trust portfolios, with a focus on high-touch client service.

Key Responsibilities
  • Assist with client administrative functions, including account openings, terminations, receiving assets, and distributing assets.
  • Prepare customized client materials for periodic reporting and meetings, and coordinate delivery of presentation materials.
  • Closely monitor investment portfolios for cash, maturities, and settlements to ensure funds are available to clients and portfolios are in line with investment guidelines.
  • Coordinate with third parties, such as attorneys, accountants, and auditors, as requested by clients.
  • Proactively review clients' security holdings and daily transaction activity, working closely with trading, operations, and custodians to ensure positions and asset values are up to date and accurate.
  • Maintain digital records of telephone and written contact with clients and third parties, including drafting client correspondence for review and approval.
  • Review reports, including performance, for accuracy and work with Operations to ensure accurate client reporting.
  • Update relevant information in portfolio management accounting systems and Client Relationship Management (CRM) system.
Requirements
  • Proven experience working in a high-touch environment.
  • Knowledge of principles and processes for providing excellent interpersonal and communication services.
  • Highly organized, attentive to detail, self-motivated, and able to multi-task in an independent and timely manner.
  • Knowledge of economic and accounting principles and practices, the financial markets, the industry, the analysis and reporting of financial data, and associated terminology.
  • Knowledge and experience using analytical skills.
  • Thorough knowledge and proficiency with Microsoft Office, specifically PowerPoint, Excel, Word, and Outlook, and experience with FactSet, Bloomberg, InvestorTools, Advent APX, Moxy, Trust Accounting Systems, and CRM technology.
