Position Overview:
The Operations Administrative Coordinator II embodies the mission, vision, and values of Northwestern Memorial Healthcare, adhering to the organization's Code of Ethics and Corporate Compliance Program, while complying with all relevant policies, procedures, guidelines, and regulatory standards.

Reporting Structure:
This role reports to the Operations or Practice Administrator and is tasked with overseeing the daily functions of practice site(s), supervising administrative support staff, coordinating provider schedules, managing practice collections, ensuring service excellence, and performing service recovery as necessary.

Key Responsibilities:
1. Manage workload distribution and prioritize tasks effectively.
2. Facilitate front-line communication with staff to gather and provide feedback on quality and productivity.
3. Perform day-to-day clerical functions as needed, dedicating approximately twenty percent of time to these tasks.
4. Supervise and guide the office's clerical staff.
5. Participate in the recruitment, training, and performance evaluation processes, including progressive discipline and dismissals.
6. Oversee daily office operations while adhering to budget guidelines.
7. Optimize provider schedules and enhance patient care hours to improve productivity.
8. Schedule staff and allocate resources to maximize patient access, satisfaction, and operational efficiency.
9. Conduct cash management duties, ensuring accurate collection of co-pays and patient balances, along with managing in-house cash balances and bank deposits.
10. Ensure service excellence is maintained and perform service recovery when necessary.
11. Manage office supplies within budget constraints.
12. Ensure accuracy in data collection and entry by site staff through training and compliance monitoring, facilitating information flow to central administrative offices.
13. Conduct regular office staff meetings in coordination with the Operations Administrator.
14. Actively participate in leadership meetings and uphold patient dignity and confidentiality at all times.

Additional Responsibilities:
1. Review and approve automated time reports for accuracy.
2. Develop tools to support staff and enhance operational efficiency.
3. Provide input into staff performance reviews and participate in conducting them as needed.
4. Plan and resolve routine technical needs of the practice, including phone systems, copiers, fax machines, and PCs.
5. Monitor daily transaction activities to ensure compliance with established policies and procedures.
6. Address complex situations involving patients, staff, and customers, consulting with management for guidance as necessary.
7. Implement new policies and procedures as directed by department leadership.
8. Complete other duties as assigned.
