About the Role

We are seeking a highly skilled and experienced Vital Records Manager to lead our Vital Records program at the Tacoma-Pierce County Health Department. As a key member of our team, you will be responsible for administering policies and procedures to register and issue birth and death certificates in Pierce County and Washington state.

Key Responsibilities
  • Supervise and lead all aspects of the Vital Records Office, ensuring all objectives and goals of the program are met.
  • Manage, hire, develop, and evaluate a diverse group of staff, providing guidance and support to ensure the success of the program.
  • Apply extensive knowledge of Washington state Vital Records RCWs and WACs, interpreting and explaining established policies, procedures, codes, regulations, and other relevant sources to internal and external customers.
  • Prepare and monitor the Vital Records budget, authorizing purchases and expenditures for goods and services and reconciling activity within the established budget.
  • Foster positive working relationships with funeral home directors and staff, Pierce County Medical Examiner and staff, Washington State Department of Health (DOH) Center for Health Statistics staff, and other key partners in the processing and issuing of vital records.
  • Attend and participate in relevant training, conferences, seminars, and public hearings, staying up-to-date on the latest developments and best practices in vital records management.
  • Review, file, and issue certified copies of vital records, responding to requests for information, documents, and addressing complex questions and concerns.
  • Monitor and ensure accurate collection of customer payments for Vital Records transactions, handling sensitive, confidential, and potentially volatile situations with professionalism and discretion.
  • Evaluate vital records procedures and recommend changes based on efficiency and technology, ensuring quality controls are in place and encouraging continuous process improvements.
Requirements
  • Bachelor's degree and five years of experience in a related health field, business management, or public administration, or the equivalent combination of education and experience.
  • Valid driver's license and acceptable driver's abstract required prior to employment.
  • Experience mentoring, coaching, supervising, hiring, training, and managing performance of staff, as well as working in a vital records program and leading and/or participating in quality improvement methods or approaches.
  • Experience with strategic planning, including developing goals, objectives, and performance measures with the input of stakeholders.
