Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team of Wealth Advisors at Hibernia Wealth Management. As an entry-level position, this role will provide an opportunity to learn the basics of our industry, how we operate as a firm, and support the advisors in their everyday tasks.

Key Responsibilities:

  • Perform general administrative and support functions for the office, including maintaining files, preparing paperwork, running reports, and answering inquiries.
  • Organize, coordinate, and maintain all client paperwork, ensuring accuracy and confidentiality.
  • Correspond with clients to complete new accounts, asset transfers, and other forms, providing exceptional customer service.
  • Handle routine matters for client accounts, including processing name and address changes, account applications, and bank authorizations.
  • Research and resolve client service problems by contacting Home Office and Sponsor Companies to resolve problems or errors as needed.
  • Ensure office procedures are followed, maintaining a high level of professionalism and integrity.
  • Record all transactions on appropriate logs, ensuring accuracy and compliance.
  • Set up files correctly and obtain necessary information, maintaining a high level of organization.

Requirements:

  • Previous experience in the financial services industry, preferably in an administrative role.
  • Excellent communication and interpersonal skills, with the ability to interact with clients, colleagues, and business contacts.
  • Ability to investigate, research, and resolve problems or concerns, maintaining a high level of professionalism.
  • Ability to maintain confidentiality, handling sensitive client information with discretion.
  • Ability to make rule-based and analytical decisions, prioritizing tasks and managing multiple responsibilities.
  • Ability to organize, prioritize, and handle multiple tasks, meeting deadlines and delivering high-quality results.
  • Ability to pay close attention to detail, working under pressure and maintaining a high level of accuracy.
  • Ability to take complete and accurate notes, maintaining a high level of organization and attention to detail.
  • Ability to operate various office equipment, including personal computers, fax machines, copiers, and other technology.
  • Ability to utilize various software packages, including Microsoft Office and Outlook.
  • Ability to use internet browsers, accessing relevant information and resources.
  • Excellent communication, interpersonal, organizational, and presentation skills, with the ability to work effectively in a team environment.
