Key Responsibilities:
- Deliver administrative assistance to the sales team, which includes entering sales orders, preparing bids, managing schedules, organizing appointments, drafting documents, and handling correspondence.
- Act as the primary contact for customer inquiries, managing phone calls, responding to emails, and directing questions to the relevant sales representative or department.
- Accurately and efficiently process customer orders, ensuring pricing and availability are verified, preparing sales quotes, creating purchase orders, and entering orders into the system.
- Oversee inventory levels of materials, coordinating with the purchasing department to guarantee stock availability and timely replenishment.
- Maintain precise and organized sales records, including customer details, order information, sales agreements, and related documentation, ensuring adherence to company policies and procedures.
- Compile and generate sales reports, tracking sales activities, analyzing data, and preparing performance metrics for review by sales management.
- Assist customers with inquiries and issues, providing outstanding service and ensuring prompt resolution to enhance customer satisfaction.
- Facilitate sales activities and communication between the sales team, customers, and other internal departments, ensuring smooth operations and timely order fulfillment.
- Support sales representatives by preparing sales presentations, marketing materials, and product information, as well as assisting with sales promotions and events.
- Collaborate with team members, yard personnel, purchasing, and other departments to foster effective communication, problem-solving, and teamwork.
Qualifications:
- High school diploma or equivalent; additional education or training in business administration, sales, or a related field is preferred.
- Prior experience in administrative support roles, ideally in a sales or customer service setting, with familiarity in industry terminology and processes.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software or sales databases.
- Strong organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills, with a professional demeanor and the ability to interact effectively with customers, sales team members, and internal stakeholders.
- Detail-oriented and analytical mindset, with the ability to accurately process orders, maintain records, and generate reports.
- Ability to work independently with minimal supervision, as well as collaboratively as part of a team, contributing to the overall success of the sales department and organization.
