Lettings Administrator

We are seeking a highly motivated and organized Lettings Administrator to join our team at Evenmore Properties. As a key member of our lettings department, you will be responsible for managing all aspects of lettings and tenancy management.
Key Responsibilities- Handling enquiries through face-to-face, telephone, and email communication.
- Entering applicant details onto the property database from phone calls and emails.
- Diary management for yourself and management where required.
- Matching applicants with properties.
- Arranging sales and rental viewings.
- Preparing marketing materials for the office and to take to viewings.
- Conducting property viewings and attending any out-of-hours viewings when required.
- Sourcing feedback from applicants after viewings and providing feedback to clients.
- Processing property applications, including sending out pre-tenancy agreements and overseeing the applicant referencing process.
- Ensuring that applicants and clients are kept up to date throughout the application process.
- Monitoring and replying to emails in a timely manner.
- Preparing tenancy agreements and all associated paperwork.
- Accurately setting up tenant information on the property database.
- Producing property inventories.
- Check-ins and check-outs of properties.
- Liaising with software support to resolve IT/technical issues.
- Producing high-quality property marketing materials using photographs and text descriptions for web advertising.
- Producing sales and letting contracts and letting contract renewals for prospective and current vendors and landlords.
- Ensuring vendors and landlords are kept up to date with the progress of their property marketing, e.g., application process.
- Regularly providing vendors and landlords with a review of their property performance on portals whilst being marketed.
- A genuine interest in joining the sales and residential lettings sector.
- A proficient level of literacy and numeracy skills.
- A confident, friendly, and professional approach with clients.
- Excellent spoken and written communication skills.
- Good negotiation, sales, and marketing skills.
- The ability to make good working relationships with a wide range of people.
- Knowledge of towns and villages within County Durham preferable but not essential.
- The ability to work under pressure.
- Good organizational skills.
- Excellent time management skills.
- The ability to work to targets and the determination to achieve personal and team targets.
- The ability to work well within a team as well as being initiative-taking.
- Professional and enthusiastic attitude.
- Adherence to our professional office environment dress code.
- Use of your own vehicle for viewings (with appropriate business use insurance).
- Experience in property, sales, or customer service.
- Must be over the age of 18 (as this position will require you to show customers around properties alone).
- Full, clean driving license with the ability to drive both manual and automatic transmission cars.
- GCSE grade C or above in both Maths and English.
