ROLE OVERVIEW

The Billing Operations Manager is essential in ensuring the smooth functioning of the billing department, focusing on enhancing operational efficiency and the overall health of the revenue cycle. This is a salaried, exempt role.

KEY RESPONSIBILITIES:

  • Supervise daily departmental operations, allocate tasks, and provide support to ensure the timely and precise completion of duties related to Eligibility, Medical Billing, and Patient Financial Counseling.
  • Exhibit expertise in coding and billing for various medical specialties, including hematology, oncology, orthopedics, and more.
  • Conduct eligibility checks across all insurance providers, ensuring necessary authorizations are obtained for patient visits.
  • Stay informed about federal, state, and payer-specific regulations relevant to the services provided by the organization.
  • Continuously assess and refine procedures and workflows to identify issues, implement improvements, and maintain billing accuracy.
  • Collaborate with the Authorization and Referral Manager and Claims team to analyze payer denial trends and billing practices.
  • Facilitate revenue cycle meetings to discuss and resolve departmental challenges.
  • Work alongside management to develop and implement strategic initiatives for the department.
  • Engage with various internal departments to promote cross-departmental process enhancements.
  • Oversee Charity Care and assistance programs, ensuring they are accessible to patients and families.
  • Review training progress for new hires and ongoing competencies for team members.
  • Document and maintain procedures for billing tasks to ensure compliance.
  • Support the vision of the Senior Director of Revenue Cycle Management.
  • Perform additional duties as required.

SUPERVISORY DUTIES:

  • Directly manage all staff within the billing department.
  • Execute supervisory responsibilities in alignment with organizational policies and legal requirements.
  • Responsibilities include recruiting, training, and evaluating employees; assigning tasks; and addressing performance issues.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Bachelor's degree in healthcare or an Associate's degree with 5 years of relevant experience.
  • A minimum of four years in a managerial role.
  • Experience in a physician office setting.

PREFERRED QUALIFICATIONS:

  • Master's degree in healthcare.
  • Experience in a multi-specialty physician environment.
  • Relevant certifications such as Certified Professional Coder (CPC) or Certified Professional Biller (CPB).

SKILLS AND ABILITIES:

  • In-depth knowledge of CPT and ICD-10 coding, along with medical terminology.
  • Understanding of insurance plan benefits and coverage.
  • Ability to manage competing demands in a multi-specialty environment effectively.
  • Strong interpersonal skills to engage with patients, families, and internal teams.
  • Excellent communication skills, both verbal and written.
  • Proficient in Microsoft Teams, Word, Excel, and web-based database applications.

WORK ENVIRONMENT:

  • Primarily desk-based work with extended periods of computer use.
  • Occasional requirements to stand, walk, and lift items up to 15 pounds.

LANGUAGE SKILLS: Bilingual (English/Spanish) preferred, but not mandatory.
