Role Overview:

We are seeking a dedicated individual for the position of Contract Administrator. This full-time role involves supporting our landscape services for a broad range of public and private clients. The successful candidate will play a crucial role in managing procurement processes and ensuring timely delivery of materials essential for our projects.

Key Responsibilities:

  • Act as the primary administrator for all landscaping, maintenance, and irrigation project contracts.
  • Coordinate with Project Managers and Foremen to procure necessary materials, ensuring timely delivery to project sites.
  • Prepare and manage purchase orders for various departments, including landscaping and maintenance.
  • Conduct reconciliations on purchase orders, invoices, and estimates to maintain accurate financial records.
  • Verify the completeness and accuracy of packing slips and receipts.
  • Compile project documentation, including client sub-packets and project books.
  • Process invoices related to job expenses, approving them for payment and forwarding to the accounting department.
  • Engage with vendors to gather information on products and services, including pricing and availability.
  • Collaborate with the Operations Manager to assess project needs and review bid proposals, negotiating contracts within budget constraints.
  • Maintain organized records of procurement activities, including costs, delivery schedules, and product performance.
  • Assist the Facilities Manager in managing DOT files for employees and fleet.
  • Perform additional duties as assigned.

Qualifications:

Education: A high school diploma or equivalent is required.

Experience: A minimum of 1 year of relevant work experience is necessary.

Skills:

  • Exceptional attention to detail.
  • Strong communication and interpersonal skills.
  • Customer service-oriented mindset.
  • Ability to work collaboratively within a team.
  • Proficiency in Microsoft Office, particularly Excel and Google Sheets.
  • Willingness to undergo a pre-employment drug screening.
  • A valid driver's license with a clean driving record.
  • Excellent organizational, multitasking, and business acumen skills.

This position does not include supervisory responsibilities.
