Job Summary

We are seeking an experienced Administrative Specialist I to join our team at the University of Florida. This role will provide administrative support to our Extension office, including fiscal management, record-keeping, and communication with stakeholders.

Key Responsibilities
  • Manage fiscal records and program reports, including reconciling Pcard transactions and balancing accounts monthly/annually.
  • Coordinate events, meetings, and travel arrangements, ensuring compliance with county and state policies and procedures.
  • Process check requests, invoices, vendor payments, and program registrations, preparing associated reports and maintaining accurate records.
  • Assist with budgetary information, serving as a liaison between Highlands County and the University of Florida.
  • Coordinate van availability, ensuring safety issues and drivers comply with county and state policies and procedures.
  • Educate citizens, organizations, and agencies about Extension services, directing them to appropriate agents or resources as needed.
  • Provide administrative support to the County Extension Director, including preparing agendas, meeting minutes, and correspondence.
  • Manage grants and prepare budget reports, creating publications, displays, and marketing materials as directed.
  • Update and maintain programs and events on internal calendars, websites, and social media platforms.
Requirements
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Knowledge of county and UF/IFAS office policies and procedures, as well as departmental rules and regulations.
  • Ability to maintain effective working relationships with co-workers, supervisors, managers, directors, vendors, and the general public.
Preferred Qualifications
  • Knowledge of modern office practices and procedures.
  • Knowledge of records management principles.
  • Knowledge of UF/IFAS budget management procedures.
  • Knowledge of computers and job-related software programs, spreadsheet, and administrative work.
Working Conditions

Office hours are 8:00 to 5:00, Monday through Friday, with an hour lunch. Schedule may be subject to change as needed for office coverage.

Required Licenses, Certifications, and Other Specific Requirements of Law

Must possess and maintain a valid Florida driver's license and any other endorsements necessary to legally operate vehicles used while assigned to this position.
