Key Responsibilities- Provide administrative support to the District Manager, Human Resources, and Operations leaders, ensuring timely and accurate completion of tasks and projects.
- Manage and reconcile Travel and Entertainment (T&E) expenses, as well as Purchase Card (PCard) transactions, to ensure compliance with company policies and procedures.
- Verify and enter data into the system, including rig hours, non-billable time, and payroll information, to ensure accuracy and completeness.
- Process and certify expense reports, ensuring timely and accurate reimbursement to employees.
- Maintain daily rig activity reports and status, providing critical information to stakeholders.
- Input field tickets and time and attendance for all employees, ensuring accurate and timely reporting.
- Prepare and process purchase orders and invoices, ensuring timely and accurate payment to vendors.
- Assist with accounts payable and receivable, ensuring timely and accurate processing of transactions.
- File employee and company paperwork in a timely and organized manner, ensuring compliance with company policies and procedures.
- Assist with new hire onboarding and driver qualification files, ensuring a smooth transition for new employees.
- Enter data for monthly mileage and hours reports, providing critical information to stakeholders.
- Provide excellent customer service, answering employee questions and queries in a positive and helpful manner.
- 3+ years of demonstrated administrative experience working for leadership, with a strong focus on operations and customer satisfaction.
- High school diploma or equivalent, with an Associate's degree preferred.
- Must be computer literate, with proficiency in MS Office (especially Excel), ADP, Cleargistix, Oracle iSupplier, or Enterprise Resource Planning systems.
- Bilingual in Spanish is preferred.
- Establish and maintain effective working relationships as part of a team, with a strong focus on collaboration and communication.
- Willing and able to continuously increase knowledge, skills, and abilities, with a strong focus on professional development.
- Able to work flexible schedules and overtime as required, with a strong focus on meeting deadlines and delivering results.
- Work outdoors in extreme temperatures and conditions, with a strong focus on safety and well-being.
- Must provide proof of right to work in the United States, have a clean driving record, valid driver's license, and ability to pass a drug screen and background check.
