Position Overview:

The Fleet Operations Coordinator plays a crucial role in assisting the Director of Fleet Maintenance with various responsibilities and daily administrative functions within the department. This position is essential in providing support to drivers experiencing breakdowns or other maintenance challenges while on the road, particularly during standard business hours and after hours when necessary. The Fleet Operations Coordinator is also responsible for ensuring compliance with safety regulations and Department of Transportation (DOT) standards for both drivers and vehicles.

Key Responsibilities:

  • Implement and adhere to preventative maintenance protocols for the entire fleet, encompassing long-haul, regional, and local vehicles.
  • Coordinate timely responses to breakdowns and repairs, ensuring compliance with vendor policies and making necessary arrangements for driver accommodations while vehicles are out of service.
  • Utilize and train team members on Fleetmatics software to monitor fleet positioning and equipment usage, ensuring efficiency and preventing misuse.
  • Oversee fuel consumption tracking through Fleetmatics and similar services, reporting any discrepancies to the Director of Fleet Management.
  • Regularly evaluate and analyze maintenance data and the software utilized in the maintenance program.
  • Maintain accurate electronic records of maintenance and other relevant documentation.
  • Support the development and enforcement of fleet management policies regarding vehicle acquisition and asset oversight.

Qualifications:

  • Proficient in common computer applications, including Microsoft Office Suite.
  • Demonstrated ability to input data accurately and efficiently.
  • Familiarity with fleet management practices and equipment used in the moving industry or related fields.
  • Strong problem-solving skills and the ability to negotiate effectively with vendors.
  • Ability to work independently and manage multiple tasks.

Education and Experience Requirements:

  • Preferred: Bachelor's degree in logistics or a related field.
  • Preferred: Minimum of 2 years of experience in fleet management or inventory control within a multi-site context.
  • Required: Excellent verbal and written communication skills.
  • Required: Proficient in PC applications, including Microsoft Word, Excel, PowerPoint, and database management.
  • Required: High school diploma or equivalent.

Work Environment:

  • Primarily indoor work, with occasional outdoor tasks involving equipment.
  • Availability for night, weekend, and evening shifts as needed.
  • Regular use of computer systems.
  • Physical requirements may include lifting items over 20 lbs, with some tasks requiring lifting over 50 lbs.
