Position Overview:

We are seeking a dedicated Human Resources / Office Assistant to play a vital role in our organization, contributing to the development and implementation of innovative solutions.

Key Responsibilities:

The HR & Office Assistant will provide essential administrative support to the Human Resources Team (50%) and various other departments (50%). The following responsibilities are core functions of this role and are not exhaustive.

Human Resources Responsibilities:

  • Manage and replenish coffee supplies for the breakroom and kitchenette.
  • Oversee the distribution of corporate office mail.
  • Process employee verification requests for all locations.
  • Facilitate timely onboarding processes for new hires and rehires.
  • Collaborate with the HR Business Partner to organize employee engagement events.
  • Assist employees with various ad hoc requests as necessary.

Office Support Responsibilities:

  • Assist with facility management by submitting maintenance requests and coordinating with vendors.
  • Provide administrative assistance to the Accounting Department, including weekly check mailings.
  • Support management with lunch orders and room setups as required.
  • Manage phone lines and respond to general inquiries from customers and vendors.
  • Order office supplies for various locations as needed.
  • Help visitors with virtual check-in processes as necessary.

Qualifications:

  • A minimum of one year of experience in office or administrative support is required.
  • A High School Diploma is required; an associate degree is preferred.
  • Proficiency in MS Office Suite is essential.
  • Bilingual abilities in Portuguese, Spanish, and/or French-Creole are advantageous.
  • Experience with processing purchase orders is a plus.
  • A friendly demeanor and a proactive attitude are essential.
  • Professional presentation and excellent customer service skills are required.
  • Flexibility and a positive approach are necessary.

Working Hours: 8 am - 4:30 pm (with some flexibility in start and end times, but a consistent schedule is expected).
