Job Overview

Position Title: Program Coordinator

Department: Engineering

Reports to: Senior Program Manager/Principal

Core Responsibilities

1. Design and Implementation:

Define design parameters and implement innovative solutions that surpass client expectations.

2. Client Engagement:

Facilitate direct client communications and lead plan processing with relevant agencies.

3. Business Growth:

Participate in marketing initiatives, identify leads, and pursue new project opportunities.

4. Administrative and Financial Management:

Oversee invoicing, budget tracking, proposal preparation, change orders, timecard approvals, and attend necessary meetings.

Key Duties and Responsibilities

Collaborate with the Senior Program Manager to develop timelines and coordinate the workflow of the design team.

Supervise the preparation of plans, technical documentation, cost assessments, and client deliverables.

Ensure the delivery of high-quality, cost-efficient designs that comply with agency and client standards.

Manage direct interactions with agencies, oversee plan approvals, and troubleshoot design challenges.

Coordinate with external consultants (geotechnical, landscape, plumbing, architecture) and internal teams (survey, mapping, water quality).

Initiate project phase kickoff meetings.

Conduct site assessments and research for proposals, designs, and marketing materials.

Visit construction sites to verify adherence to plans, address discrepancies, and respond to requests for information.

Provide forecasts of workload and communicate resource requirements to the Senior Program Manager.

Conduct staff evaluations, offer coaching and training, and ensure timely submission of employee timecards.

Monitor project budgets, provide billing guidance, and manage change order requests.

Promote and implement innovative ideas and procedures that align with Full Circle Thinking.

Represent the organization in meetings with clients and agencies.

Attend professional development seminars and courses, submitting evaluations and recommendations for implementation.

Supervisory Responsibilities

Oversee a team of 1-5 employees within the Engineering Team in collaboration with the Principal or Senior Program Manager.

Responsibilities include interviewing, training, planning, assigning tasks, directing work, evaluating performance, rewarding, disciplining employees, and resolving issues.

Qualifications

Education and Experience:

Bachelor’s degree (B.S.) in Civil Engineering or a related field from an accredited institution.

A minimum of ten years of experience in civil engineering design.

At least 3 years in a lead design role, with experience in mentoring and managing project workflows.

Certifications:

EIT certification is mandatory.

PE license or the ability to obtain it within two years of employment is required.

Skills:

Proficiency in AutoCAD and/or Civil 3D is preferred.

Strong analytical, decision-making, communication, and team collaboration skills.

Physical Requirements

Regularly required to sit, use hands for manipulation, and reach with hands and arms.

Occasionally required to stand, walk, talk, or hear.

Must occasionally lift or move up to 10 pounds.

Specific vision abilities include close vision, color vision, depth perception, and the ability to adjust focus.

Work Environment

Occasionally exposed to outdoor weather conditions.

Noise levels are typically quiet.
