Office Administrator Job Description

NESCO Inc is seeking a highly organized and detail-oriented Office Administrator to join their team in Glenville, NY.

Job Summary:

The Office Administrator will provide administrative support to the team, ensuring the smooth operation of the office. This includes meeting and greeting visitors, daily mail distribution, receiving and staging incoming packages, handling incoming calls and other communications, updating documents and word processing, organizing travel, scanning, copying, filing, scheduling and coordinating meetings and conference calls, and overseeing office supplies inventory.

Responsibilities:

  • Meet and greet visitors, ensuring a positive first impression of the company
  • Distribute mail and packages in a timely and efficient manner
  • Receive and stage incoming packages, ensuring they are properly labeled and stored
  • Handle incoming calls and other communications, responding to inquiries and resolving issues
  • Update documents and word processing tasks, maintaining accurate and up-to-date records
  • Organize travel arrangements, booking accommodations and reservations as needed
  • Scan, copy, and file documents as required
  • Schedule and coordinate meetings and conference calls, ensuring seamless communication
  • Oversee office supplies inventory, ordering supplies as needed
  • Maintain office equipment, ensuring it is in good working order
  • Assist Human Resources and Accounting as needed

Requirements:

  • High school graduate or equivalent
  • Proficiency with Microsoft Word, Excel, PowerPoint, Teams, and Outlook
  • Experience as an office assistant or in a related field

Preferred Qualifications:

  • Strong work ethic, with the ability to work with minimal supervision
  • Exceptional interpersonal and written communication skills
  • First-rate organizational skills, including prioritization, attention to detail, and task completion
  • Ability to maintain discretion and confidentiality at all times
