Job Overview

Salary Range: $60,000-$70,000

Position Summary:
The Operations Manager plays a crucial role in overseeing the daily administrative functions of the organization. Reporting directly to the Deputy Managing Director, this position is responsible for the efficient management of office operations, company assets, IT support, and various special projects.

Key Responsibilities:
  • Prepare documentation for management and staff meetings, maintain organized files, and create engaging presentations.
  • Oversee office reception to ensure a welcoming environment and that necessary supplies are available for staff.
  • Manage company properties by addressing tenant inquiries, submitting property tax exemptions, and supervising repairs and renovations.
  • Collaborate with the Deputy Managing Director to enhance office operations, ensure compliance with regulations, and implement new procedures.
  • Supervise the Receptionist to ensure efficient front desk operations.
  • Manage storage facilities and maintain archives of important documents.
  • Facilitate the onboarding and offboarding of staff, including preparing equipment, licenses, and training on organizational policies.
  • Assist staff with IT-related requests and communicate systematic IT needs to third-party vendors, coordinating with the Business Tech Officer as necessary.
  • Work with Accounts Payable to ensure timely and accurate approval of vendor invoices.
  • Act as a liaison with vendors regarding office repairs, equipment, supplies, and maintenance needs.
  • Plan and coordinate special events, overseeing setup and logistics.
  • Perform additional duties and special projects as assigned.
Qualifications:
  • At least five (5) years of experience in office operations.
  • Strong analytical, verbal, written, and interpersonal communication skills.
  • Bilingual proficiency in English and Chinese.
  • Advanced technology skills, particularly in Microsoft Office Suite, Google Workspace, and Adobe.
  • Preference for candidates with experience in office or property management.
  • Demonstrated organizational skills, sound judgment, and decision-making abilities.
  • Ability to maintain confidentiality regarding sensitive information.
